Overview of the solution
The portfolio solution is comprised of two fully customizable parts:
- Portfolio board: This board provides a high-level, bird's-eye view of all projects in your portfolio, showing where everything stands at a glance.
- Project board: This board will be used to manage the low-level details of every project with your team and will be connected and synced directly to the portfolio overview, so all the necessary details for each project board are visible in one centralized place.
How to get started
The monday.com portfolio solution can be added to your account from the left pane. To get started, click on the blue + sign, select New Portfolio, name it, decide whether the portfolio will be Main or Private, and your brand-new portfolio board will be ready in your account within a few moments:
We'll dive into more details about the portfolio board in this section of the article; however, in essence, it allows you to connect and sync multiple low-level projects to it, providing a visual, interactive place to understand the high-level details of your projects.
To create a new project from your portfolio board, click on Add project and then select Create new project afterwards. All you have to do next is name it, click Create, and a new project is instantly added to your portfolio - no manual connections on your end.
Creating a new project also includes a Resource planner by default. When you create a project from your portfolio or otherwise, you’ll see a Resource planner toggle turned on automatically, so the project board and its Resource planner are created together. If you don’t need it for a specific project, you can manually toggle it off before creating the project.
You can also connect an existing project board from your account. With either option, as soon as you create a new project from here, it will be instantly connected to your portfolio, and all information from the connected project(s) will be synced, so you can track it.
To add an existing project board to your portfolio, click on the Add project button at the top left and then select one of the boards from your account.
You can also create a new project board through the same + menu in the left pane and then add it to your chosen portfolio later on by following the steps outlined above.
Portfolio board
Utilizing automatic connections to instantly sync relevant information from your projects, the Portfolio board acts as a high-level overview of all the projects within your portfolio. Use this board to understand where each project stands, to easily identify issues and bottlenecks, and drill down to understand what caused them and how to solve them.
Your portfolio includes a portfolio-specific version of monday sidekick that works in the context of your portfolio. You can use it to understand what’s happening across projects, surface risks, and get suggestions for next steps without leaving your portfolio view.
To open it, click Sidekick from the top pane of your portfolio. The side pane opens to the entire portfolio context, so you can ask questions or use suggested actions based on the projects in your portfolio. You can ask Sidekick to take action based on that context. For example, it can help you update project details across your portfolio, such as adjusting statuses, timelines, or other key information on connected projects.
To disconnect your project from the portfolio, select the item and delete it from the portfolio. This will disconnect the project from the portfolio without deleting the project.
If you click the project name in the Portfolio board, you can open the Project Overview. This section allows you to understand more about each individual project by displaying:
- A Battery Widget showing the project's progress
- A summary of the status changes, along with notes that you may have included when changing the status
- A Gantt chart so you can see the planned and actual timelines
- updates section so that you can communicate on a high level about this project
- Files view to centralize all added files in one place
- Project Info view, which includes an Item Card view and the summary of Status changes and notes
The Portfolio board also comes ready-made with a Gantt view, allowing you to see the timelines across all of your projects in an interactive, high-level view.
Set a default view on a Portfolio board
Portfolio boards behave differently from regular boards when you want everyone to land on the same view. There is no Set as board default button on Portfolio boards. Instead, use the steps below to make a view appear first for everyone.
1In the view tab, click the view’s three-dot menu and select Pin view to pin it for all board members.
2After the view is pinned, open the view’s three-dot menu again and select Reorder (for everyone) to move the pinned view to the first position.
The Portfolio Health Snapshot
The Portfolio Health Snapshot is a unique feature available only within the portfolio solution. This capability provides a sleek, all-encompassing view of how your portfolio of projects is progressing at a glance.
Using the Portfolio Health Snapshot, portfolio managers can quickly see which projects are On track, At risk, or Off track in a card-based view. From this view, you can also see useful project details such as completed tasks, planned vs. actual timelines, and project managers. Like the rest of the portfolio solution, this view is interactive, so you can drill down into project details and make changes directly from the snapshot.
The Portfolio Risk Insights
The Portfolio Risk Insights is a feature available exclusively within the portfolio management solution. Powered by AI, it automatically analyzes data from each of your project boards and generates a daily list of potential risks for each project. With this feature, you'll be able to proactively identify and address risks across your entire portfolio.
Generate AI report
Generate an AI report with one click—an executive summary highlighting key portfolio trends and risks.
Portfolio AI report will be generated as a separate monday doc, featuring an executive summary, a pie chart of project health statuses, key highlights, project metrics, and a risk insights synopsis.
Similar to Risk insights, the AI report updates daily as projects evolve.
Project board
The Project board uses a variety of column types to manage all the necessary lower-level details for each new project (created from the left pane or directly from the Portfolio board) and can be easily adjusted to best represent your organization's needs.
New projects include a Resource planner by default (unless you toggle it off during project creation). This planner is designed for high-level resource planning alongside your project board.
Each project board created from a portfolio includes a Gantt View to oversee project timelines, dependencies, and milestones, as well as a detailed project overview section for quick insights into project changes.
In addition to the behind-the-scenes connections created between a newly created project board and the portfolio board (via the Connect Board and Mirror Columns), all columns, views, and setups on this board are editable and available for your customization.
As long as your project is connected to a portfolio, you will have access to the Overview Section at the top of your board, where you can see a helpful summary of your project's tasks. You can also easily change the health status of the entire project. This can be done by changing the status in the top-left corner and adding a quick description of the change. Any changes will be reflected directly within the connected project on the portfolio overview.
Note: You can connect up to 200 projects to a portfolio.
You can connect up to 750 items and subitems per project or 20,000 total items across the portfolio, whichever limit you reach first.
All Projects Dashboard
The All Projects Dashboard gathers insights from every project in your portfolio and consolidates them into a single, comprehensive dashboard view. With a set of ready-made, pre-configured widgets, it provides instant access to key metrics and eliminates the need for manual dashboard updates when projects are added or removed.
