In order to make sure your monday workspace doesn't get cluttered with older information that you no longer need, you have the ability to archive instead of deleting your data completely. You can archive items or subitems, groups, boards, and workdocs. If you change your mind, don't worry -- you can also restore if you need.
Archive an item or subitem
To archive an item, hover over an item so that the three-dot button appears on the left side of the item. Click on the dots to open the dropdown menu and click on Archive:
You can archive several items at once using Batch Actions. Click on the checkbox on the left of each item to select it, then continue to click on the other items you want to archive. Next, click on Archive in the Batch Actions menu at the bottom of the screen:
Archive automatically
Instead of archiving items manually, you can set up an automation to systematically archive items. Click on the Automate button at the top of your board to open up the Board Automations Center. Navigate to the Create tab, and then search "archive" to see the archive automation:
Archive a group
To archive a group from your board, how on the name of the group and click on the three-dot menu that appears to the left of the group's name. From the dropdown menu, click on Archive group.You'll be asked if you're sure if you want to archive the group, and if you still do, click on Archive anyway.
Archive a board
To archive a board, click on the three-dot menu at the top right corner of the board and click on Archive board from the dropdown. Once archiving, the board will remain in the archived section for as long as you need. Of course, you can always restore it if you need to.
Archive a workdoc
To archive a monday workdoc from your account, click on the three-dot menu at the top right corner of the workdoc and select Delete / Archive option from the dropdown. From there, you can choose if you want to Delete or Archive as shown below:
How to Restore
When archiving anything in your account, it will remain in the archived section. You will always have the option to restore them if and whenever needed.
There are multiple ways to access the archives section in order to restore your data. Let's take a look!
Profile menu
Click on your profile picture and then click on Archive:
Then you'll see a list of every board, workdoc, item, subitem, and group that you've archived. To restore something, select one or more items from the left side and then click on Restore from the bottom pane that appears.
Workspace menu
To reach the archives section through the workspace menu, click on the three-dot menu above the workspace navigation bar. Then, click on View archive/trash and then click on Archive:
Search Everything & Board Menu
You can use Search Everything to quickly restore your boards. Click on the magnifying glass icon in the left panel above your profile picture:
Under the Related to me section, click on Archived Boards to see a list of all of your archived boards:
Once you find the board, click on it to open it. Then go to the board menu by clicking on the three-dot menu in the upper right corner of the board. From the dropdown menu, click on Unarchive board:
Tidy Up
If you're an admin for your account, you can use the Admininistration settings to restore archived boards. Click your profile picture, and select Administration:
Select the Tidy Up tab from the left-hand menu, and then click on the Archived Boards tab. From there you can see a list of all archived boards in your account. You can restore a board by clicking on the Restore option on the right side of the archived board:
Restore board-specific components
To restore a group, item, or subitem, go to the board where the object was originally created. At the top right corner of your board, open the board menu, click on View archive/trash and then Archive.
From there you will see all of the items, subitems, and groups archived from this board. You can identify the type of archived data in the center of each row under the Type column where either Item, Subitem or Group will be listed. To restore, click on the three-dot menu on the right of what you'd like to restore, and then click on Restore:
Filter your archives section
Using the archive filter, you can select which archived objects will be displayed according to their type, date they were archived, or board name, so you can find exactly what you need. To do this, click on the Filter button on the top left and select the parameters that you'd like to filter by.
You can filter your archived items by the month and year they were archived to help you find what you're looking for. Use the dropdown menu to choose the month and year, and use the arrows on the right to scroll to the previous or next month.
