Project boards help you plan and manage projects in one place. They let you break work into tasks, track progress and timelines, and organize project details with columns, views, and dependencies.

 

Note: Projects are available on the Pro and Enterprise plans. On the Pro plan, you can create standalone projects with built-in project features. On the Enterprise plan, projects include portfolio connection and additional advanced project management capabilities. Check out the different creation flows below.

Create a project on the Pro plan

To create a project, click the + icon and select Project.

 

Next, enter your project name, choose a project template, and select the project’s privacy settings. Then click Create project.

 

On the Pro plan, projects are created as standalone projects. This gives teams a built-in project structure for managing project work.

Projects on the Pro plan include built-in features like Project Overview and Project Health, along with project-specific columns such as the Dependency Column, Duration, Planned Effort, Effort Spent, Budget, and Completion Date. These features help teams manage progress, timelines, task relationships, effort, and budget from the start.

 

After the project is created, you can begin working right away and continue refining the project with Sidekick, monday.com’s AI assistant.

 

Note: Portfolio connection, cross-project dependencies, and the Resource planner are available only on the Enterprise plan.

 

Create a project on the Enterprise plan

To add a project, click on the + icon and select Project as so:

Enter a prompt describing your project. Based on your prompt, AI creates a project outline so you don’t have to start from scratch.

After you add your description and click Continue, you’ll see the option to include a Resource planner in your project. The Resource planner is turned on by default. If you don’t need it for a specific project, you can toggle it off before you click Create project.

The Resource planner helps you define resource requirements for the project and plan at a higher level alongside your project board. It’s separate from the project plan itself, so you can use it for planning without changing how your tasks are managed on the project board.

Tip: If you’re planning resourcing across projects, use the resource management tools to support the full workflow. Set up the Resource Directory to define attributes like job roles, skills, and locations. Use the Resource planner to map out resource needs and allocations at a high level for each project. Then connect multiple projects to a Capacity manager to get an overview of utilization across projects and spot who’s overloaded or underutilized.

 

After your project is created, you can use Sidekick, monday.com’s AI assistant, to continue building and refining it. Sidekick works in the context of your project, so you can ask it to review your structure, create or refine tasks, and apply changes across your board, such as updating statuses, adjusting timelines, or filling in key details.

Convert your board to a project

Alternatively, you can also convert any of your boards into a project board. To do so, go to your board and click the three-dot menu in the upper-right corner. Next, select Convert board to project:

Your board data will remain unchanged, but you will notice additional columns and new project management features. 

 

Built-in Project Overview

The project overview is built directly into your board and provides a high-level snapshot of the project's current status. When you open the overview, you'll have access to key project details, including any changes in RAG status, project progress, and a Gantt chart view. You can add additional widgets and customize the overview to fit your specific needs.

Project Health Status

You can manually update your project's health by selecting the health option. This option includes three categories: Off Track, At Risk, and On Track, providing a quick overview of your project's status. Any changes to the health status will be reflected in the RAG status section of the project overview.

Note: The project health status will also be displayed in your portfolio, giving you a clear overview of the progress and current standing of all your projects.  

 

Automatic Project Health Status

Enhance your project board with the Automatic project status integration. It allows you to set rules that automatically update your project's health based on task statuses. For example, if more than 50% of tasks are marked as stuck, the project's health will automatically change to At Risk. To add it, click the integrations icon in the top-right corner of your board, then search for Automatic project status. You can tailor the automation to suit your specific needs.

Predefined columns 

When creating a project board, predefined columns such as Timeline, Dependencies, Effort, and more are automatically included. These columns are designed for optimal project management and can be customized to your needs.  

Show me which column types are used on this board
  • The people column is used to assign ownership for each item (or task) and to help create accountability amongst the team.
  • The status column is used to display the status of each task at a glance.
  • The priority column allows you to assign a priority level to each one of your tasks.
  • The timeline column allows you to indicate the duration in which each task is set to be completed.
  • The dependency column lets you define relationships between each of your items and to help easily adjust timelines if a certain task gets delayed.
  • A few different numbers columns are used to show the length of each task, the planned vs. spent effort, and the budget.
  • The date column displays the completion date for each item.
  • Finally, the connect boards column creates a link between the current project and your portfolio board, so that everything stays synced and aligned at all times.

 

Cross-project dependencies

On the Enterprise plan, you can create dependencies not only within a single project, but also across project boards. This is helpful when work in one project depends on tasks in another project, so you can track blockers and adjust timelines across multiple projects.

Connect your project to a portfolio

On the Enterprise plan, project boards can be connected to a portfolio so you can review multiple projects in one place. This makes it easier to roll up progress, reporting, and project-level visibility across a broader initiative.
