You have two options to migrate your data from Work Management to monday CRM:
- Option 1: you can move your current boards to monday CRM as they currently are and add the CRM features on top of them
- Option 2: you can rebuild your boards on the monday CRM entities and won't need to add the CRM features since they come built in.
This article will walk you through both options step-by-step to ensure a smooth transition.
Option 1: Move your current boards and use them as is
When should you use this option?
You should use this option if:
- your boards are well-built and you do not want to change them (low implementation effort)
- you intend for your setup to remain the same once moving your boards (i.e. automations, integrations, etc.)
If you choose this option, consider that:
- you will then need to manually add exclusive monday CRM features to the desired boards. This includes the item card, Emails & Activities, and more.
- you will not have a dedicated view in the mobile app. Your board will behave like a regular board rather than a CRM board. Check out the "monday CRM on mobile" article to see full details of the CRM mobile experience. This will help you consider whether or not this is something you're willing to forego.
How to move an entire workspace
- Make sure you've installed monday CRM. Check out this how to video for detailed instructions.
- To start migrating your data, click on the three-dot menu located on the right of your workspace's name. Then, select Move to and choose monday CRM:
How to move specific boards
- Make sure you've installed monday CRM. Check out this how to video for detailed instructions.
- To move a single board, click on the three-dot menu to the right of the board's name. Select Move to and then monday CRM:
- Or, to move multiple boards, gather all of the boards that you want to migrate into one folder. To do so, click on the three-dot menu to the right of your board's name. Select Move to and choose Move to folder:
- Once all of your boards are moved to one folder, move the folder into monday CRM. Open the three-dot menu to the right of the folder, select Move to and then monday CRM:
Option 2: Rebuild your boards on monday CRM
When should you use this option?
You should use this option if:
- you want to use the default monday CRM structure and features
If you choose this option, consider that:
- you will need to manually rebuild your boards within the default boards in monday CRM (adding your own columns, views etc). Once you have rebuilt your boards, you will need to move all your items from Work Management to CRM.
- you will have the dedicated CRM view in the mobile app. Check out the "monday CRM on mobile" article to see full details of the CRM mobile experience.
How to do it
- Make sure you've installed monday CRM. Check out this how to video for detailed instructions.
- Next, update your CRM boards. You can update the structure of each board based on your own desired workflow structure. For example you can add columns, add or change groups, etc.
- Once done, go back to Work Management and duplicate all of your CRM boards. Learn how to duplicate a board in the "How to duplicate a board" article. Make sure you are duplicating your boards structure, items, and updates.
- Next, start moving items. The "How to move a group, item, or subitem" article will walk you through how to move an item. We recommend starting with one item as a test. Make sure all the relevant fields are mapped. Check out the "What happens to connected items when moving them to another board?" article for more details.
- Once the test item has been moved successfully, you can select up to 500 items at a time to move them in bulk.
-
If you've made a mistake, you can undo an action in the item's activity log. The "How to undo something" article will walk you through all the steps.
Add the Item Card
You can add the item card to any of your boards, and customize it by adding different widgets. Check out the "The Item Card" article to learn more about this feature. To install the item card, open any item on your board, open the three-dot menu, and then select Edit layout & content from the list:
Next, click the + to add a view. Select Item card from the menu:
Once added, select Edit layout & content again to edit the card:
You can now add any widget to your board! Check out the "The Item Card" article to view the list of all available widgets.
Connect to Emails & Activities
With the Emails & Activities app, your team can easily manage client or customer relationships in a centralized way. This means that your team will spend less time tracking down the details for every interaction. This amazing feature will allow you to send and receive emails, create your own email templates, capture meeting notes, document events, and more! All in one visually optimized timeline. Check out the "Emails & Activities on monday.com" article to learn more.
Boost your CRM with advanced columns and automations
Connect boards column
Use the Connect boards column to create connections between your different boards. We suggest that you have one board for all of your accounts and one board for all of your contacts, etc. With the Connect boards column you can create a relationship between items within each board. Check out the "The Connect Boards Column" article to learn more.
Create cross-product automations
Cross-board automation recipes offer the ability for boards to interact by allowing an action in one board to trigger an action in a completely separate board. With cross-product automations you will be able to keep CRM and Work management in sync. Check out the "Cross-board automations" article to learn more.
Use match automation
Use the “Match automation” to create automatic connections based on a unique identifier. For example, every time you add an item with the same account name, it can automatically connect to the item for the account with that name on the Account board. Check out the "Cross-board automations" article to learn more.
Add mandatory fields
Add mandatory fields to ensure that new items have all the required information when they are first created. With this feature, whenever a user adds an item, they will have to fill out all the designated mandatory fields. Check out the "Manage your CRM contacts" article to learn more.
Add conditional status changes
With this feature, you are able to create required fields when changing a status label. For example, a status cannot change to “Closed” until the “Deal value” field has been filled out. Check out the "Unique features found only in monday CRM" article to learn more.
Add Quotes and Invoices
You can create quotes and invoices within your monday.com workflow and have them ready to go when you need them. Check out the "Quotes & Invoices on monday.com" article to learn more.
Improve your dashboards
Take your CRM dashboards a step further by adding these widgets:
- Add the chart widget to help you visualize data
- Add the funnel chart to see your deals conversion
- Add the leaderboard widget to track your team's performance
