How to copy boards and dashboards between accounts

 

With the Cross Account Copier, an admin can copy a folder that contains boards and Dashboards from one account to another on monday.com. Copying between accounts is helpful if you accidentally opened multiple accounts and want to consolidate, or if you work with several teams and need to move information to the right place.

 

Note: There is no direct workspace transfer feature. The Cross Account Copier works by copying a folder containing Main boards and dashboards to another account. This feature transfers Main boards and Dashboards only. Shareable boards and Private boards are not transferred.

 

Important to know

Before you begin, make sure these conditions are met:

  • You are an admin on both accounts (the source and the destination) with the same email address.
  • The boards you want to move are Main boards and are inside a folder. Dashboards must also be Main and inside a folder.
  • On the destination account, your account permissions allow you to create boards.
  • If your boards include automations and you want those to move too, transfer one board at a time to help ensure structure, data, and automations move successfully.
  • Region limitation: this feature does not copy data between US and EU region servers. When attempting to do so, you’ll see an error that the account does not exist. (See The Workspace Template method.)
  • If your trial has ended and you are blocked by the expiry screen, you will need to reactivate the account before proceeding.

Additionally, board subscribers remain subscribed only if they are members of the destination account with the same email address in both accounts.

Tip: If you can’t find a board or Dashboard, you may have more than one monday.com account. Copying between accounts can help move what you need to the right place.

 

How to use this feature

Once the conditions above are met, follow these steps to use the Cross-Account Copier: 

1 Create a folder

If you don’t already have one, create the folder that will be moved. Click the + and select New folder:

Tip: If your Main boards and Dashboards are already in a folder, skip to step three.

 

2 Move the relevant Main boards or Dashboards into the folder

Only Main boards and Main Dashboards can be copied to another account. If needed, change the type to Main first. To move the content into the folder, hover over the board or Dashboard in the Boards list, select Move to, and then select Move to folder:

You can also drag and drop items into the folder.

Note: If a board is connected to another board, include both boards in the same folder. If the linked board isn’t included, the Connect Boards Column will be hidden on the destination.

 

3 Open the Cross Account Copier

Click your profile picture, select Administration, and Cross Account Copier:

4 Select the folder to move

Choose the folder you want to copy. You can select View folder contents to review what will be copied:

When moving data, try to include every connected board in the same folder. Otherwise, you’ll see a warning and data from boards that aren’t included will be missing.

 

5 Enter the destination account URL

Type the destination account URL name (for example, if your account is myaccount.monday.com, enter myaccount) and select Continue:

6 Confirm the transfer from your email

Open the inbox associated with your monday.com account and select Click to confirm in the confirmation email.

After a few moments, the folder with its boards and Dashboards appears on the destination account.

 

What happens to the board subscribers of a transferred board?

If original subscribers are members of the destination account with the same email address, subscribers, assignees, and updates transfer correctly.

Note: Teams subscribed to a board or assigned to an item are not transferred to another account.

 

If a subscribed person isn’t a member of the destination account (with the same email), they won’t be subscribed on the transferred board. Their item assignments won’t carry over, and their updates appear as posted by a general monday.com user.

Tip: Invite the same people to the destination account with the same email address before copying to keep subscriptions aligned.

 

Limitations

The following do not transfer when copying a folder to another account:

  • Shareable boards or Private boards
  • Info Boxes
  • The Activity Log
  • Automations that are toggled off (deactivated). Automations that are on will carry over, but any automation that includes integrations with other platforms does not carry over.
  • Integrations that are toggled off (deactivated). Integrations that are on carry over but must be re-authenticated on the destination account.
  • Emails & Activities app history. The app itself transfers, but past activity history does not.
  • Form share links. Moving a board with a Form View creates a new board URL, so you’ll need to recreate the form link as a new view.
  • Channels and Customer Portal on monday service do not transfer with the Cross Account Copier.
Note: Cross-board automations mapped to boards located in the same moved folder continue to function. If you move multiple folders that contain cross-board automations, you’ll need to reconfigure those recipes.

 

The Workspace Template method

If your accounts are on different regional servers (for example, EU and US), the Cross Account Copier can’t transfer data between them. Use the Workspace Template method to copy a workspace’s Main boards and Dashboards to another account through an install link. The destination account receives a new workspace with the copied content.

 

Before you start

Choose a workspace that contains the boards and dashboards you want to move. The workspace itself should not be a Main Workspace, and the boards and dashboards inside it must be set to Main. It’s essential to note that people assigned in the People Column will not be transferred to the destination account, even if they use the same email address and already belong to the destination account.

 

How to set it up

Click your profile picture (top right), then select Developers to open the Developer Center:

Click Create a new app, name it, and select Save:

Open the Features tab on the left under the Build section. Select Create new feature:

Select Workspace template and select Create:

Name the workspace template and choose a category (for example, Project Management). The template will then appear under this category in the Template Center. Switch to the Workspace tab and select the workspace you’ll be copying. Optionally, add a landing board, then select Save changes:

Scroll to App versions under the Manage section. Open the three-dot menu, select Promote to live, then select Promote:

When the app is live, go to Share app under the Distribute section. Accept the monday developers terms and select Publish app:

Choose whether to share the app with specific monday accounts (listed below) or with anyone who has the link.

Sign in to the destination monday.com account. Open the app link in a new tab and install it. After installation, the app appears in Administration on the Apps tab alongside your other apps.

Tip: To avoid issues with app permissions, open each account in a different browser. Copy the app link from the source account and paste it into the browser where you are signed in to the destination account. This will trigger the permission request for that account and make the workspace template available in the Template Center.

 

Then, go to the Template Center:

Open the category you chose earlier (for example, Project Management). Find your workspace template, select Use template, and choose New workspace:Untitled design (60).gif

 

Result: A new workspace is created on the destination account with all the Main boards and the dashboard carried over!
