One of the first steps in setting up your monday.com account is inviting team members to join. This article walks you through the different ways to invite users to your account and how to manage, resend, or cancel invitations.
Ways to invite users to your account
There are two main ways to invite people to your account. You can invite them from the Invite members icon in the top pane of your screen, or directly from a board.
Invite from the top pane
Depending on your account permissions, you may be able to invite others to your account using the Invite members icon in the upper right corner of the top pane:
If your account permissions do not allow you to invite people directly, you can still use this icon to request that your admin send an invitation on your behalf.
In the pop-up window, you can invite users in two ways. You can click the Copy button beside the invite link and send it directly to your teammates, or you can type their email addresses into the field.
If you invite someone by email, choose their access level: Member or Viewer. Viewers have read-only access and cannot change your data.
You can also invite the new person directly into an existing team on your account. Pending users who have not accepted their invitation will have a generic profile picture. Once they accept the invitation, their initials appear until they upload a profile picture of their own.
When you are done, click Invite. Your new team members receive an email invitation and, after accepting it, are redirected to your account where they can create a profile and get started.
Invite from a board
You can also invite team members to your account from one of your boards. To do this, click the Invite button at the top of the board:
A pop-up window opens with all of the board’s subscribers. From here, you can add new people by typing their email addresses into the search bar and pressing Enter:
You can see all of your pending invitations in the list of board subscribers. As long as a person is pending and has not accepted their email invitation, their profile picture appears as a generic black-and-white icon. After they complete their sign up, their colorful initials appear. An admin cannot change a pending user's profile picture until that person is fully activated on the account.
Control who can join and who can invite
Account admins control both who can send invitations and who can join the account without an invitation. To manage these settings, click your profile picture, select Administration, then Security, and go to the Authentication tab, where you can review your authentication and invitation settings:
On new monday.com accounts, the creator’s email domain is authorized automatically. Anyone with that domain can join the account without an invitation, and by default, members can invite people from any email domain unless an admin restricts invitations.
If an admin enables Authorized domain for the Email and password policy, only people whose email address matches that domain can join the account on their own. When this option is turned on, anyone with the authorized domain can join without an invitation.
On supported plans, you can also use single sign-on (SSO), such as SAML SSO or Google SSO, so that only people who are allowed in your identity provider can access your monday.com account.
Cancel or resend a pending invitation
If you invited a person by mistake, or you misspelled an email address and sent the invite to the wrong person, you can cancel the invitation from the Administration section.
Click your profile picture and select Administration, then open the Directory tab and choose Users. This opens the User management page:
From here, you can use the search bar or filters to find people whose status is Pending. Click the three-dot menu next to the pending person and select Cancel invitation to revoke their access:
If you simply want to correct the email or remind them, you can choose Edit email address or Resend invitation from the same menu.
If a team member did not receive the invite
If a team member cannot find their invitation, ask them to check their spam or junk folder first. If the email is not there, try resending the invitation from the Pending invitations tab as described above.
If the invite still does not arrive, confirm that the email address is spelled correctly and that your company’s email filters or security settings are not blocking messages from monday.com.
Invitation limits
There is a daily limit on the number of invitations you can send. The limit is calculated as the maximum number of users allowed on your account multiplied by three. For example, if your plan includes 10 users and you need to grow your team, you can send up to 30 invitations to members or guests per day.
