Overview

This article explains how you can use mass email tracking to view send and open metrics.

Mass emailing in monday.com lets you send messages to multiple recipients simultaneously, simplifying your communication. Mass email tracking lets you monitor your mass emails in monday CRM.

Enable tracking

To send a mass email, compose and send your email using the mass email feature. To track your open rate for that email, tick Email Tracking at the bottom of the composer before sending:

Open the tracking dashboard

Step 1

Once you've sent a mass email, you can begin to track it by opening the dashboard. To open the dashboard, click on Mass email tracking in the upper left-hand menu:

Step 2

On this dashboard, you will see all the emails sent from your monday CRM account, as long as you have view access to them. In the default view, you will see Sent emails:

Open the Scheduled tab to view tracking for scheduled emails:

How to read the dashboard

Let's take a closer look at the columns on this dashboard. The basic information is in the first three columns:

  • Launched. When you clicked send (as in, when you set up the email), but not the actual time the email was sent.
    • For scheduled emails, you will see Send time instead. 
  • Subject. This is the subject of the email.
  • Sent by. The avatar shows who sent the email. If you hover over the avatar, you will see the name of the person who sent the email and the email address from which they sent the email.

The next few columns show more detailed information about the emailing:

  •  Status. This shows the status of the mass email. There are four potential statuses.
    • Sent: all emails addressed to valid recipients were sent.
    • Sending: in the process of being sent.
    • In queue: waiting to be sent and in line to be sent next.
    • Failed: something went wrong, and your email(s) weren't sent.
    • Scheduled: the email is scheduled to be sent.
  • Recipients. This shows the number of recipients who were sent this email. This does not include invalid or missing email addresses or duplicate email addresses.
  • Delivered. The delivery rate is listed as a percentage. You can hover over this column to see more about the number of successful deliveries and the total number of emails sent.
  • Opened. This percentage represents unique opens. Only one open per recipient will be counted.

You can open the three-dot menu for scheduled emails by hovering to the right of the Recipients column. There you can choose to:

  • Send now. This will override the scheduled time and send the email immediately.
  • Cancel send & delete. This will cancel the scheduled email and delete the email draft.

View details, opens, and bounces

To see a complete drill-down of a mass email, click on the line item representing that email. This will open a card view of details about that email. You will see some of the same information from the dashboard view. You can also review the details of the sent email. This includes the text of the email and the origin board:

Investigate failed runs

To investigate failed runs, locate an item in the list with a percentage in the Failed column:

In the card view for the email, you will see a reason for the failure in the Failed to send section:

Common issues & solutions

Here are some solutions to common problems when using the tracking feature of mass emailing.

1. Tracking is not visible for recent emailings

In this case, the issue is often that cached data is causing a loading error. You can check if this is the case by logging into your monday.com account through an incognito or private browser window.

To fix this issue:

  1. Make sure your browser is up-to-date
  2. Clear your browser's cache

2. Emails are not sending or are stuck "In queue"

If you've recently sent a batch of emails and they're stuck "In queue", you may have hit your usage limit.

For Mass emailing with monday CRM, you can send a maximum of:

  • 500 emails at one time
  • up to 2,000 emails per day

If you're using Gmail, Google sets additional limitations for each Gmail account.

With a paid G Suite account, you can send: 

  • up to 2,000 emails per day

For a trial G Suite account, the limit is:

  • 500 emails per day

 

3. Exporting reports

At this time, it is not possible to export the data in Mass email tracking.
