How to get started as a guest

Guests are external users who can join a monday.com account to collaborate on exactly what’s relevant to them, without needing full access to the entire account. Whether you’re a client, vendor, or consultant, being a guest means you can jump right into the boards and dashboards that matter most and start working together seamlessly.

 

 

What is a guest?

A guest is someone external to your organization, affiliates, or subsidiaries who is invited to collaborate on a Shareable board in an account they are not a member of. Common examples of guests include clients, vendors, freelancers, or external consultants.

Note: A guest must have an email domain that is different from the email domain(s) associated with the account admin’s organization, affiliates, or subsidiaries, and any other related entity. Guests cannot join with the same email domain as the account’s organization.

 

Guest pricing

Guests are available on Standard plan and above. On the Pro and Enterprise plans, you can invite an unlimited number of guests. If you’re on the Standard plan, here’s how guest billing works:

Guests are included on the Standard plan, and their billing follows a 4:1 ratio—every 4 guests count as 1 billed seat. That means you can invite up to 3 guests for free. When you invite a 4th guest, that group of 4 guests will count as 1 billed seat. You can then invite 3 more guests before another seat is used. This pattern continues: for every additional group of 4 guests, 1 seat is counted toward your total billing.

Your plan’s total seat count includes both members and guest groups—but they are not counted the same way. Each member uses 1 seat, while every 4 guests together use 1 seat.

For example, if you're on a Standard plan with 5 seats, and you've added 4 members, you have 1 seat remaining. That remaining seat can support up to 4 guests. If you invite 7 guests, you're still within your seat limit—4 guests count as 1 seat, and the next 3 guests haven’t yet triggered another billed seat. But if you invite an 8th guest, that second group of 4 guests will use an additional seat, bringing your total to 6 seats (4 team members + 2 guest groups). At that point, your account will be automatically upgraded to the next seat tier.

Note: If your total usage, including team members and guest groups, exceeds your plan’s seat limit, your account will be automatically upgraded. You’ll receive two email notifications before the upgrade happens.

 

What can guests do?

Guests have limited access to protect team privacy. They can only see the Shareable boards they’ve been invited to, and board owners can restrict their activity further using board permissions.

 

As a guest, you can: 

 

Guests cannot:

  • See any information, including boards and items outside of the Shareable Boards they were invited to
  • Create new boards
  • Invite other guests to Shareable Boards
  • Be a board owner
  • See workspace names
  • See the Activity Log on the board level, or who last viewed a board
  • Create apps

 

How to sign in?

When someone invites you to a Shareable Board, you will receive an email that looks something like this:

Click "Accept Invitation" to launch the board in a new window of your browser. You'll be prompted to enter your personal details to create your profile. You can upload a profile picture if you'd like. When you're done, you're ready to start collaborating!
