Downgrading your plan

Who can use this feature:

A downgrade is any change to your plan that reduces its scope. This can include reducing the number of seats or moving to a lower plan tier (for example, from Pro to Standard).

Tip: Were you charged for additional seats and automatically upgraded? The How to manage an auto-upgrade explains what triggers an auto-upgrade and how to manage it from your account billing settings. Take a look at this article for next steps.

Should I change seats or downgrade my plan?

There are two types of downgrades you can make on monday.com: reducing paid seats (which lowers how many seats you’re billed for) or downgrading your plan tier (for example, from Pro to Standard).

Both changes are scheduled for your next renewal date. To lower your paid seat count, your account must already have the same number of active seats or fewer than the new seat total before the change can be scheduled.

How do I reduce seats or downgrade my plan?

Downgrades cannot take effect immediately.

Steps: Open Billing in the admin section

  1. Open the Administration section of your account.
  2. Select Billing in the left-hand menu.

Note: monday.com does not automatically reduce your seat count when users are deactivated. This protects your account structure and ensures you don't lose your preferred pricing or seat availability due to temporary staffing changes. You can deactivate users anytime, but billing adjustments only take effect at your next renewal date.

In the Overview tab, find the product you want to downgrade, and then click the three-dot menu next to it.

Note: If you want to reduce the number of seats, you must already have the same number of active seats or fewer than the target size. For example, if you are on a 5-seat plan and want to downgrade to 3 seats, you first need to deactivate users until your account is at 3 seats or fewer. Only then can you schedule the downgrade to take effect at renewal.

This user management article explains how to deactivate users and manage people on your account.

Both options schedule the downgrade for your next renewal date.

When does a downgrade take effect?

All downgrades take effect at your plan renewal. For monthly plans, the change applies at your next monthly renewal date. For yearly plans, it applies at your next yearly renewal date.

What happens if you exceed your user limit before renewal?

If you schedule a downgrade and then exceed the seat limit of your upcoming plan before the renewal date, your account will remain on the current plan until renewal. If the overage continues, you’ll receive three notification emails. After five days, your account will be automatically upgraded to the next seat bucket that covers the number of seats in use.
