Dashboard permissions

 

To keep your information safe and secure, we offer several different types of permissions: account permissionsboard types, board permissionscolumn permissions, and Dashboard permissions or restrictions. Dashboard permissions or restrictions give the Dashboard owner control over what information can be changed on the Dashboard level.

 

Choose your Dashboard type

You can choose whether you want your Dashboard to be public or private. 

  • If your Dashboard is set to "Main", it will be visible to everyone in your account.
  • If you choose the "Private" option, your Dashboard will be visible to you and the selected team members you invite.

Dashboards do not have a "Shareable" type because they can be shared with anyone you choose, including colleagues outside your monday.com account. 

 

Note: Admins of an Enterprise plan can view high-level details of a Private Dashboard, such as its name, subscribers, and creation date, via the content directory.

 

Change a Dashboard type

You can easily change the type of your Dashboard by clicking on the three dots at the top right-hand corner and selecting "Change type to Private" or "Change type to Main."

Dashboard permissions

The permissions on a Dashboard are role-based and differ between "Members" and "Owners." 

  • Dashboard Members

Dashboard members can view and interact with a Dashboard. If the Dashboard type is set to "Main", anyone on the account can view the data and become a member. On a "Private" Dashboard, members must be invited by a Dashboard owner.

To add members to your Dashboard, click the "Invite" button at the top right-hand corner and select "Dashboard members."

A window with a list of members will open. Click the search bar and begin typing in the name or email address of the team member you'd like to add to your Dashboard. You can also remove a member from your Dashboard by clicking the 'x' beside their name.

Note: If a team member does not have access to one or more of the connected boards in your Dashboard, you will be asked to subscribe them to that board so they can view the Dashboard content. If the Dashboard Owner is not the owner of one or more of the connected boards, they will need to reach out to the board owners so that they can grant access to the requestor.

 

  • Dashboard Owners

By default, the person who created the board is automatically a Dashboard Owner. Owners see a blue crown next to their name on the list of Dashboard subscribers. To add more owners, click on the grey "crown" icon beside the subscriber's name to turn it blue, making them owners!

To remove someone as an Owner, simply click on the blue "crown" icon. The person will then be made a Dashboard Member and will no longer have owner permissions on the Dashboard.

 

  • Invite guests 

You can invite anyone to view your Dashboard by clicking on the "Invite" button and then selecting "Invite by email or link". In the window that appears, you can choose to either "Copy" a link to the Dashboard or send an invitation via email.

Copy the link produced and send it to whoever you'd like. Alternatively, type the guest's email address into the field below and click "Send" to send them an invite to the Dashboard by email.

 

Note: Guests who are invited to your Dashboard but are not members of your account will be invited as free, read-only viewers. Read this article to learn more about what it means to be a viewer. 

 

Who can make changes to Dashboards?

Only Dashboard Owners can edit the Dashboard itself and the apps and widgets within the Dashboard. Some of these actions include:

  • Toggling to "Edit" mode
  • Moving and resizing widgets
  • Adding new widgets
  • Deleting widgets
  • Adding or deleting connected boards
  • Subscribing or unsubscribing team members or guests
  • Changing Dashboard type
  • Renaming or deleting the Dashboard

Some actions that everyone who is a Dashboard Member viewing a Main Dashboard can carry out include:

  • Viewing the list of Dashboard guests, owners, and subscribers
  • Switching to Dark or Light Mode
  • Viewing in TV/ Presentation Mode
  • Duplicating the Dashboard
  • Adding the Dashboard to your favorites
  • Filtering widgets
  • Viewing connected boards
  • Viewing widgets in full screen
  • Drilling down on widgets (this has a different meaning for each widget)

 

Requesting access to a private Dashboard

If you've stumbled upon a Private Dashboard that you do not have access to, you'll find the following error message displaying that the Dashboard is private and you currently do not have access to it. To instantly request access to the Private Dashboard, click on the blue "Request access" button.

Clicking this button will send a notification to all owners of this Private Dashboard, showing that you've requested access. The Dashboard owners will be directed to the subscribers page to grant you access if they so choose.
