Using workflows in monday campaigns

What are workflows?

monday AI workflows is a tool for bringing all of the elements of your workflow together by incorporating automations, integrations, delayed starts, and an intuitive interface to help you create the harmony your work needs, generated for you through the power of AI.

Completely customizable, workflows use AI and drag-and-drop blocks to help you simplify your workflow. You can learn more about monday AI workflows in general here, but this article will help you use them within monday campaigns.

By incorporating workflows into monday campaigns, you can automate processes to simplify your email campaigns, allowing you to work more efficiently and focus on results rather than repetitive tasks.

 

Setting up your campaign

There are two ways to make a campaign workflow-driven.

 

Create the campaign from the Workflows page

In the monday campaigns left navigation, click on Campaigns and then select Workflows. This page has two tabs at the top:

  • Workflows - the existing list of workflows in your account.
  • Emails - a tab listing campaigns that are configured to send through a workflow.

Open the Emails tab, click on the dropdown arrow next to + Create workflow, and select Create email. You will be prompted to create a campaign using AI or from scratch. Once created, your campaign is automatically setup as a workflow-driven campaign, with no extra step needed to pick a type.

 

Switch an existing campaign to workflow-driven

If you've already started a campaign and want to send it through a workflow instead, open the campaign in the editor, click the dropdown arrow icon in the top-right header, then select Send as workflow email. Your campaign's design and content carry over; only the send mechanism switches. The same menu lets you switch back to a one-time email later.

Once the campaign is configured, you can send a test email to make sure everything looks exactly the way you'd like it to by clicking the Send a test email button at the bottom right of the screen.

 

When everything is ready, click Review and Activate in the editor's top-right. Workflow-driven campaigns show Review and Activate instead of the regular Review and launch. You'll see the activation confirmation, and once you confirm, your campaign is live, and the workflow trigger sends emails to recipients.

 

Note: As of now, once you've activated a campaign, you cannot edit it.

 

You'll see the following screen once you click on Activate:

You will then see the campaign listed under your Email Campaigns with a status of Workflows:Group 1 - 2025-07-16T123929.173.png

 

Using workflows in monday campaigns

Creating an AI workflow

Access the AI workflow builder by clicking on the AI Workflows button in the left pane menu.

You'll then see the AI workflow builder. Enter a prompt detailing exactly what you need your workflow to look like, and then watch as AI constructs it for you. You will be able to edit the workflow as needed after it is built.

Creating a new workflow manually

Access the workflow builder by clicking on the + sign button next to your workspace, and then click on Workflow:Group 1 - 2025-10-22T143734.865.png

 

This is the fastest way to get started building a new workflow.

 

Accessing existing workflows

If you would like to see a list of all existing workflows, you can access the Workflow center by clicking on the Autopilot robot button at the top right toolbar:Group 1 - 2025-10-22T143951.277.png

 

Click on the Workflows tab, where you'll be able to see all the workflows in this account, the status, the workspace the workflow is located on, success rate, when it was last updated, and more.Group 1 - 2025-10-22T145949.676.png 

You can also create a new workflow from here by clicking on  + Add workflow to begin. Campaign-related workflows also appear inside monday campaigns under Workflows > Workflows tab, so you don't need to leave the campaigns surface to find them.

 

Building a workflow in monday campaigns

Once you have opened the Create workflow page, name your workflow and choose whether it is visible to everyone in your account (Main) or to your selected team members (Private).

Now you're ready to start building your monday campaigns workflow! There are many ways to build your workflow to help streamline your email marketing process. 

 

monday campaigns-specific workflow blocks

The majority of the workflow builder experience in monday campaigns is the same process found in any other monday product. However, there are several blocks that are specific to monday campaigns. 

 

Note: The workflow trigger needs to come from the Marketing Contacts board, since the campaigns blocks only work with items from this particular board.

 

Send Campaign

To use the Send Campaign block, you will need to choose a campaign from the list of configured campaigns, meaning the ones you've configured as a workflow-driven campaign in the above step.

Campaign Result

You can choose which campaign result to view and build a workflow based on that result.Screenshot 2025-10-22 at 15.14.11 1.png

 

Tip: When using the Campaign Result block, add a Delay block between the Send Campaign block and the Campaign Result block. This gives recipients a chance to see and open the email before the Campaign Result block is triggered. Without the delay, the condition will be met immediately, and the condition chosen will never be true. 

 

After you've selected the campaign result and the specific campaign to use, you can build the rest of your workflow.

 

For example, if the campaign result "Opened" is "Yes", you can build a block that changes the item's status on the board. Then, for campaign result "Opened": "No," you can add a block that will resend the campaign.Screenshot 2025-10-22 at 15.10.26 1.png
