How do workflows work?
Each workflow is built up of blocks, which contain triggers, conditions, and actions.
Consider this example of a monday automation in order to understand the basic structure of workflow blocks:

How to access workflows
To access workflows, click on the Workflow center button on the top left side of your screen, as shown below.
Another way to access workflows is by opening a workspace where you plan to implement your workflow. Click on the blue plus sign button and click on Workflow from the menu.
How to build a new workflow
Once you open up the Workflow center, click on the blue Add workflow button. You'll be prompted to name your new workflow and after you click on the blue Create Workflow button, you'll see a blank canvas.
Now it's time to start building your workflow! You can use the search bar to find the trigger that you'd like to use in your first block.
When you create your first block, the configuration panel will open on the right side of your screen which will allow you to customize how your workflow begins.
After setting up your initial block, click the plus sign icon to create a new block. You will have several options:
- Action: These blocks will perform an action. Choose this option if you want to direct your workflow from the last step toward taking the next action.
- If / Else: These blocks will force the workflow to check a condition before continuing to the next action.
- Delay: These blocks will allow you to pause in between workflow steps for a set amount of time.
When you choose one of these options, the configuration panel will open on the right side.
Adding an action
If you choose to add an action, you can choose the board where the action will occur. The list will auto-populate with your recently accessed boards first. You can also search for a specific board:
If you choose the same board or item referenced in a previous block, you will be able to refer to it specifically using the block's number:
To complete the rest of the set up, enter a value for each field:
If you choose to complete the set up for a block later, you will see the phrase "Complete setup" on the action block. You will need to complete all setups before you can publish your workflow. You can save your work and come back to edit before publishing.
Adding a condition
Conditions allow you to create a more flexible workflow. You can create a condition at any point within your workflow. You can even create conditions within conditions.
If you choose to add a condition, you will have three options-- to use the status, person, or item value as a condition:
You can then set up the workflow from the point that the condition is met, and the point where the condition is not met.
In this case, the workflow checks to see if a specific item is in a specific group on the board. The next step is to set up what happens if the item is in the group ("Yes"), and if the item is not in the group ("No").
After setting up the initial branches of your condition, it may look something like this:
Delaying an action
If you want to add a pause in between steps of your workflow, you can add a delay block. You can choose your delay duration and the exact time you want the next step to be executed. To learn more about delay blocks in depth, check out this article.
Editing and publishing
To perfect your workflow, you'll likely need to edit and delete blocks at some point. You can delete any block at any point except for the first block that starts the workflow. You can edit any block at any point.
To open a block's menu, use the three dots in the upper right-hand corner.
You can also add blocks at any point in your existing flow using the plus sign as shown below:
When you're done building your workflow, click Create.
After you publish, you will see a green icon in the top left corner that indicates the workflow is active. If you click on the icon, you will have the option to pause the workflow:
To edit the workflow, click the Edit button in the top right corner:
While your workflow is in Edit mode, you can make changes. You can choose to leave the editor without saving the changed by clicking Leave editor in the top right corner. If you'd like to keep your changes, click Update.
Helpful workflow tips
- As your workflow grows and you navigate through it, you will see a target in the top right corner. Click on this target to return to your last selected block:
- To make navigating your workflow easier, you can change the name of a block. Click on the name in order to change it
- You can manage your workflows in the Workflow center. The center can be accessed at any point by clicking on the workflows icon in the top right corner of your screen:
- You can view a specific workflow's run history by clicking on that workflow in the Workflow center or in your left-pane navigation and clicking on Run history on the top right corner
