Item and subitem limits per board

You may have asked yourself, "Up to how many items can a board contain?" Well, this is a great question! In order to retain our top-notch board performance, we keep a limit in place of 10,000 items per board and for any plan type, aside from our Enterprise plan which allows for 100,000 items.

In this article, we'll learn more about why we have this limit in place as well as some tips and tricks to use if your board reaches this limit. Let's get into it!

Why is there an item limit?

At monday.com, we strive to keep our board performance as quick and smooth as possible so that teams can work to the best of their abilities. In order for this to happen, it is necessary to limit the amount of items on each board. For this reason, the limit stands at 10,000 items per board for all plan types aside from the Enterprise plan which allows for 20,000 items.

What happens if the limit is reached?

If you happen to reach the item limit on your board, you'll see a banner appear at the top of your board stating that you've reached your limit. You will then no longer be able to add additional items until some are removed from your board.

If your board reaches the limit, no need to worry! Below, we'll go over ways that you can remove items from your board so you'll be back within the limit in no time.

Reducing items on your board

To reduce the number of items on your board, you can:

  1. Delete items
  2. Archive items
  3. Move items to other boards

Let's check out each option!

  • Deleting items

To delete some items from your board, simply tick the box to the left of it and select "Delete", as shown below.

Note: You can recover deleted items from the trash section for up to 30 days from the time of deletion.

  • Archiving items

If you think you may need to return to an item at a future point, you may prefer to archive them instead! To do this, simply select your item and click "Archive" on the bottom pane.

Your archived items will be available for you to restore indefinitely!

  • Moving items to other boards

Last but not least, you can also choose to reduce the number of items on your board by moving them to a different board! This can be done by choosing your items and then clicking "Move to" and then "Move to board" as so:

Tip:  You can use Batch Actions to delete, archive, or move multiple items in one go!

That's all for now! We hope this article helped provide more insight on why we have an item limitation in place and how you can go about keeping your board within this limit. 🙌
