How to sort columns and items

 

Sorting your items is a really easy way to keep yourself organized.  It helps you understand what you have to do and in what order so that you can get all of your tasks done. This article will show you a few ways you can sort your board to show your items in the order that works best for you.

 

Sort according to column

You can choose to sort your items by the column contents from the column directly. Depending on which column you want to sort with, this will have a different meaning. For example, If you want to sort your items by the Date Column, they will be sorted chronologically in descending order from the earliest date at the top to the latest date at the bottom. If you want to sort your items by the People Column, then the items will be grouped by the person assigned (with the people ordered in alphabetical order). 

To sort your items according to a column, hover over the top of the column and click the arrows icon as below:

Another way to sort is to click the arrow to the right of the column's name to launch the column menu. Hover over "Sort" and then, in the sub-menu, click "Sort Column". Like this:

Subsort with multiple columns

You can sort your items with multiple columns from the column menu as well! This means that the first column you choose to sort with will be the primary sort. All columns you choose to sort your items with after the first column will be a subsort. Let's look at this example below to understand how it works.

In the board below, we've first sorted with the People Column, meaning that our items are ordered according to the person they are assigned to in the People Column.

Our second sort is according to the Status Column that we've titled "Priority", meaning that the People Column sort still applies, but within each person's items, they will be sorted according to labels from the Status Column.

To do this, we'll click into the column menu, then hover over "Sort" and then "Add subsort", as shown below:

Note:  If you click "Sort column" rather than "Add subsort", you will replace all previous sorts instead of adding a subsort. 

 

Sort & subsort all from one place

On the board level, you have the option to sort your board by any column and then subsort your board by other columns, all in one place! To begin sorting your items, click the "Sort" icon, and then click on "Add new sort":

The board sort tool will open with a default sort. The default sort will be to sort by the item name alphabetically in ascending order:

You can change this default sort to any column and order you prefer by clicking into and changing the column type (where it currently says "Name") and then the sort order. For example, I'd like my board to be sorted by "Priority" in descending order:

To subsort the items, click "Add new sort" and choose the second column that you would like to sort by on your board. In this example, we made the subsort according to the "Budget" number in ascending order.

Save your sort 

In the picture below, we've sorted our items according to the Numbers Column titled "Budget" so that the numbers are arranged from the lowest to the highest within each group.

You can save the sort that you've applied to your items so that they will remain in this order every time you return to your board. If you hover above the column, you can click "Clear" to revert the items to their original order or "Save" to keep this order in your board every time you visit! Keep in mind, that adding any new items to your board will clear the sort so that you can re-organize as you need to.

Note:  If you don't want to save the sort, it will remain on your board until you refresh the page, exit this board, or click "Clear". 

 

Alternatively, you can also save the order of your sorted items by clicking into the column menu, then selecting "Sort" and "Save order of items", as shown below:

Save your sort as a new view

If you'd like to sort your board and save it for easy access in the future, use the sort button from the board menu to set up your sort conditions and save it as a new view.

To do this, simply define your sorting conditions and then click on the "Save as new view" button on the top right corner. Once done, name the saved view as you wish, and you are good to go!

In the GIF above, we chose to sort the items based on the status labels in our "Priority" column in ascending order. Now that it's been saved as a new view titled 'Sorted by "Priority"', we can easily access this saved sort from the views menu with a click of a button. 🙌

 

Sort manually

If you want to sort your items in a particular order that is not ascending or descending, you can click and drag each item to exactly where you want to see it within your group. You can even drag items between groups!

Sort alphabetically

Some people prefer that all of their items be in alphabetical order. If you'd like to sort in this way, hover above your first column (the names of your items) and click the arrows that appear in the center. Like this:

Now, you can see that all of the items in each group are in alphabetical order, descending from A-Z. You can click "Clear" to revert the items to their original order or "Save" to keep this order every time you visit! Additionally, you can see how many sorts are applied to your board by the number next to the "Sort" icon at the top of your board. 🙌

Tip:  Click the sort arrows one more time to sort in the opposite order! You'll see the items in each group in reverse alphabetical order, ascending from Z-A!
