Overview

What is the AI Lead Agent?

monday CRM agents are built into your monday CRM. These agents help you complete specific tasks based on the settings you define. 

The AI Lead Agent sources, adds, and enriches prospects based on your ideal customer profile (ICP). Based on the schedule you set, your agent can retrieve new leads for you on a regular basis. Overall, your agent helps reduce manual data collection and keeps lead details organized based on the settings you configure.

Set up your agent

Step 1

Open your Leads board. Click the AI Agents dropdown at the top of the board. Choose AI Lead Agent from the menu.

Step 2

Click Activate to begin. Then, design your ICP (ideal customer profile). The profile will initially be generated from your board's data. You can check the potential leads in the carousel to the right:

If you aren't satisfied, you can further customise your ICP. To alter the profile, click Refine:

You can use prompt editing or classic editing. Prompt editing is the default. With prompt editing, simply describe your ideal customer. To switch to classic editing, select the option below the prompt field:

For classic editing, use the drop-down menus in each category to select from the available options:

Once you've completed creating your profile, click Next.

Step 3

The next section is where you Enrich and Map your data. This is where you tell your agent where to collect information. First, choose the board:

Then, you will be asked to map the agent's collected data. Choose the column on your board where you would like your agent to put information. In this example, I want the agent to put the lead's Job Title in the Specific role column on my board:

After mapping your data, click Next.

Step 4

In the next section, tell your agent when to act. Define your agent's schedule by choosing how many leads you would like your agent to return, the days you want your agent to perform the search, and the time. All schedules are recurring.

After defining your schedule, click Confirm & activate.

 

Test your agent

After completing the setup, your agent will run for the first time:

The leads will populate at the top of your board in a group named "[Your name]'s leads to review":

Your agent will perform the search again at the time designated in your schedule.
 

Edit your agent

While your agent is running, some settings may be unavailable for editing. When the run is complete, you can update your settings and save your changes. Once it's done, you can modify any of the settings defined during setup. This includes your Ideal Customer Profile (ICP).

Turn off your agent

To turn off your agent, open the AI Lead Agent:

Select Settings:

And toggle the agent off:

Click Save changes to finish. You can return here and toggle on to resume your agent at any time.

 

Permissions

While AI Lead Agent is in Beta, your agent will be available to your entire organization. Anyone who has access to monday CRM will have access to delete or make changes to your agent. 

In the future, you will have the option to toggle off/on the following permissions:

  • Share this agent with everyone. When enabled, everyone in your organization can see this agent, its call summaries, and its settings.
  • Allow others to edit this agent. When enabled, everyone in your organization can edit this agent's voice, triggers, and script.

 

Error messaging

When you set up your AI Lead Agent, you configure the settings to ensure that leads are created and stored correctly. Over time, changes to your board structure can impact the creation of new items, leading to errors. 

If your AI Lead Agent has encountered an error, it will be paused. Your schedule will not continue as planned until the error is corrected.

When you open your AI Lead Agent, there will be an indication of any errors. This includes missing boards, groups, and columns, as well as permission issues. The error will also point you towards the relevant setup issue in your AI Lead Agent's settings.

 

AI Credit usage

Note: AI Sales Agent is in beta. Your setup of the feature will not consume your account's AI Credits.

 

Using monday CRM's AI Lead Agent requires AI credits

If you do not have enough AI credits to use the agent, you will not be able to interact with the feature. Follow the on-screen prompts to purchase credits and proceed.

General questions

How does the AI Lead Agent find leads?

The AI Lead Agent searches publicly available platforms and sources to find leads that match the criteria you defined during setup.

What data does the AI use to choose leads?

The AI Sales Agent uses the information from the ICP set up during configuration to choose leads. The agent uses the information you provide during setup, along with the board and fields you select during mapping.

 

Privacy and data questions

How does monday.com protect my data?

monday AI follows the same security protocols as monday.com products, ensuring a consistent, robust approach to data protection. monday.com employs robust encryption protocols to protect data within monday AI. Data is encrypted at rest using AES-256 and in transit with TLS 1.3, ensuring it remains secure during storage and transfer. For more details, visit our Trust Center.

How long do monday.com's AI model providers store our data, and do they use it for training?

monday.com’s AI model providers operate under Zero Data Retention commitments. This means they do not store any customer data processed through monday AI. Additionally, monday.com’s agreements explicitly prohibit the use of customer data for model training or any purpose other than processing the specific request.

In cases where the AI models are hosted on monday.com-controlled servers (such as AWS Bedrock, Azure AI, and Vertex), the model providers do not have any access to customer data at all.
