AI-powered actions on columns utilize monday AI blocks to help you work smarter by using monday AI to analyze, summarize, and generate content directly within your boards. AI-powered columns are context-aware and help run your repetitive work for you so you can focus on your main priorities.
Where to access AI-powered actions
To access AI-powered actions from your board:
1 Click on the three-dot menu on the right side of any column
2 Check out the options listed under AI-powered actions
3 Click on your chosen AI-powered action and customize as needed
Each column will have its own AI-powered actions available according to what is supported, but you can also click on Set a custom prompt for any column as well for any actions you want to create that may not already exist.
Which columns work with AI?
You can use AI functionality with the:
- Text column
- Date column
- Number column
- Dropdown column
- People column
- Status column
When AI capabilities have been applied to a column, you will see the colorful AI rainbow star symbol on the right side of the column header:
Adding AI to a column with AI-powered actions
To apply AI capabilities to a column using AI-powered actions:
Click on the three-dot menu to the right of the column header. Click on your chosen AI-powered action and customize as needed.
Once you've selected an action, you can fill in the rest of the details in order to preview your results before saving the column preferences:
When you're satisfied with the preview results, click on Save & apply. Now your AI-powered column is ready.
AI cell overlay
Once the AI column has been filled out, you will be able to see a cell overlay. Once you hover over it, you will see a brief explanation of AI results. You will be shown a summary of successful results and also actionable data on failed results.
Board cells that have been generated by AI will have a grey indication marker, while any errors will have a red indication marker.
So what does each AI action do? Here's a breakdown:
Writing assistant
With the writing assistant option, you can provide a simple prompt that will guide the AI assistant to write the perfect text you need for your Text column. To use it:
1 Click on the three-dot menu and then choose Autofill this column
2 Click on See all
3 Click on See more actions
4 Select Writing assistant
Now just fill in the prompt for the text that you need the AI assistant to write. Then choose the tone and length you're looking for, and watch the AI assistant in action.
Extract Information with AI
Extract Info with AI automatically extracts and organizes key information from files such as invoices, resumes, or contracts. Information can also be extracted from the Link column (actions based on webpage content), text columns, monday docs in the Files column (not the docs column), and images.
Specific details (like names, invoice numbers, text extracted from images, etc.) will appear directly in your monday board columns, eliminating the need for manual input and saving critical time.
AI columns on subitems cannot access files stored on the parent item. To work around this, use the following two steps:
- On the parent item: add an Extract with AI column to extract the file's content into a standard Text column on the same board.
- On the subitem: add a Connect Boards column linking to the parent board, then add a Mirror column to display the extracted Text column from the parent item.
This allows the subitem to reference the extracted data without needing direct access to the parent's file.
Assign Labels
The Assign labels action will select a label to assign to the column you've chosen. Choose the column you'd like to assign a label to, and then watch the Assign label AI action choose and apply a label to your selected column.
A few tips for best results:
- try using 3-10 labels that are easy to understand
- make sure your labels are distinct from each other
- check that the input text has enough information for AI capabilities to use
Custom action
The Set a custom prompt action allows you to give instructions to AI. In your instructions, you can reference any column on your board for input. AI will then generate output, per your specifications, into the selected column.
When you choose Set a custom prompt, you can put your custom instructions into the text field. When inputting your instructions, you can choose a variable from your board to factor into AI's output.
Once you see the preview result, you can hover on the AI-text overlay in the left-hand corner to see why AI gave you these results.
For best results:
- Use clear instructions, leaving no room for misunderstanding
- Make sure to choose the most relevant columns for the task
- Experiment with different prompts on a small scale before applying them to your entire board
Detect sentiment
The Detect sentiment AI action will determine whether the text input can be categorized as Positive, Negative, or Neutral.
To get to this action, click on the three-dot menu next to the Text column and then click on Autofill this column. Then click on See all, Select more actions, and finally select Detect sentiment:
Translate
The Translate AI action will automatically translate your chosen text into whichever language you need from the wide variety available in the dropdown menu.
Summarize
The Summarize AI action automatically summarizes text input into a much shorter piece of text, making it faster to read and scan.
Improve text
The Improve text AI action will automatically generate an improved version of the text that has been provided.
Refine Text
With AI-powered text refinement integrated into the regular Text Column, users can instantly enhance clarity, tone, and structure while maintaining full control over whether changes are applied. Click inside the column, select the Refine button in the top left, then accept changes with the replace button or regenerate for new text.
Assign person
The Assign person with AI action will automatically assign a person in the People column based on your specific description of each person's role and expertise.
How to deactivate AI Blocks
To deactivate AI capabilities on any column:
- Click the three-dot menu on the column header.
- Navigate to AI-powered actions and hover over Autofill this column.
- Click Deactivate AI.
- Confirm by clicking Deactivate AI in the pop-up.
The AI action will stop running and the rainbow star will be removed from the column header.
Using run history to troubleshoot
If you want to understand why a column may be showing No result, then you can check Run history.
Click on the Automate button on the top right of your screen, navigate to the Manage tab in the middle, and then click on the Run history tab. There you will see a summary of the AI actions taken on the column:
In this example, Extract Info was used to extract an email address from a different column. You can see the Run history explains that the No result is due to the fact that "the input column(s) are empty. Please fill in at least on cell."
