monday CRM makes it easy to keep up with your established contacts and your new leads. While monday CRM provides tools to collect your contacts and leads within the platform, we understand that leads can come from multiple sources. To help you keep everything centralized, we've compiled a comprehensive guide to importing your contacts and leads from Excel. 

 

Steps

For this example, we're importing existing contacts from an Excel document. Begin by opening your board and then opening the New contact dropdown menu. Select Import contacts from the menu:

Select the Browse button to choose a file from your computer, or you can drag and drop a CSV file into the import window:

After uploading a file, you will see a preview of how your import will look. Because this is only a preview, you won't be able to scroll through the items and columns. You can match each imported column to an existing column on your board. To do this, open the drop-down to the right of a column header and select the existing column from the list:

Repeat this step for each column to ensure that all imported information is routed to the correct destination. Click Clear selection to choose a different column. You can also click Don't import column to exclude a column from your import.

The next screen will ask you how you want to handle matches. You have three options:

  • Add as new. The Add all rows as new items option adds all items in your import as new items, regardless of whether matches are detected.
  • Skip matches. The Skip matches option will skip adding matching items. When you choose this option, you will also select which column to use when determining whether or not an item is a match. For example, you can choose the Email column. If you choose the Email column, an item will be skipped during import if its email address already appears in your board.
  • Update matches. The Update matches option will replace matching items in your board. When you choose this option, you will also select which column to use when determining whether or not an item is a match. For example, you can choose the Phone column. If you choose the Phone column, an item will be replaced with the information from your Excel document during the import if the phone number matches an item already in your board.

When you click Start import, the import window will close, and you'll see a progress bar in the bottom right corner of your board:

When the import is complete, you'll see a green banner at the top of your screen confirming that the import was successful, along with the option to download a CSV summary.

Supported fields

The following fields are supported when matching columns to your board:

  • Name
  • Status
  • Link
  • Email
  • Long text
  • Numbers
  • Text
  • Phone
  • Date
  • People
    • If a team member and team have the same name (i.e. Jeremy), you must preface the values in your spreadsheet with user: or team: for them to match correctly during import

Limitations

There are a few limitations to be aware of:

  • You can only upload one file at a time per board.
  • You can only upload 100 files per account per hour. If you try to upload a file at this point, you will receive a notification that you've reached your limit for the time being.
  • Your imported file must have fewer than 50 columns and 8,000 rows.
  • Your imported file must be 10 MB or less.
  • If a column is not matched, it will be added to your board as a text column.
  • If you are importing to your Leads board and your board automations are active, the status of your imported items will change to New Lead. To avoid this, you can temporarily turn off your automation before importing.
