The Meeting Prep Agent compiles everything you need before a customer meeting and delivers it automatically, 24 hours ahead of time. It pulls data from your calendar, CRM records, communication history, and external signals so you arrive informed and ready — without manual research.

The agent runs on a scheduled basis and requires no action from you once it is set up. It operates within the permissions and guardrails you define inside monday CRM.

 

What the Meeting Prep Agent does

When a meeting with a CRM-matched contact is detected 24 to 48 hours ahead, the agent automatically generates a structured meeting brief. The brief always includes six sections:

  • Company intelligence — recent news, press releases, funding rounds, M&A activity, hiring signals, earnings, and competitor moves
  • Relationship history — a summary of the last three touchpoints, key decisions, open commitments, objections raised, and deal stage and velocity
  • Contact profiles — role, tenure, recent promotions, LinkedIn activity, and relevant personal details for every meeting attendee
  • Open action items — all open tasks and commitments from previous meetings for this account
  • Suggested talk points — three to five talk points grounded in deal stage, open items, company news, and relationship context
  • Forecast update — a refreshed deal forecast probability based on the latest signals, written back to the CRM record automatically

 

Getting started

Before the agent runs, connect your calendar. Once your Google or Outlook calendar is connected and a meeting with an external participant is detected, the agent generates your first meeting brief automatically. This is your first opportunity to see the agent in action before all CRM data fields are fully populated.

1 Open AI Agents in the left navigation pane of monday CRM.

2 Locate the Meeting Prep Agent and click to open it.

3 Connect your Google Calendar or Outlook Calendar and set your preferred delivery channels.

4 Click Activate agent. The agent will begin scanning your calendar daily and delivering briefs automatically.

Note: A connected calendar is required for the agent to run. Without it, no meetings can be detected and no briefs will be generated.

 

Where your brief is delivered

The agent delivers your meeting brief across all surfaces you configure. The primary delivery point is the Upcoming meetings home calendar widget. You can also configure delivery to:

  • The deal item page in monday CRM
  • Your calendar event as an attachment
  • Slack as a direct message from the agent
  • WhatsApp or mobile push notification as a condensed summary
  • Email

On desktop, the full six-section brief is available with collapsible sections, signal tags, and contact profile chips. On mobile, a short-form version is delivered with key bullet points per section, optimized for reading on the go.

Tip: To request a brief on demand, type "prep me for my [account name] call" in the agent chat on the deal item page. On-demand briefs complete in under 60 seconds.

 

How the agent triggers

The Meeting Prep Agent runs on two trigger types:

  • Scheduled — the agent scans your calendar daily and fires brief generation for any meeting with a CRM-matched contact detected 24 to 48 hours ahead.
  • On demand — type a request directly in the agent chat at any time to generate a brief for a specific meeting immediately.

 

Connections and data sources

The Meeting Prep Agent pulls data from the following sources to build each brief. All data is read-only unless noted.

  • Google Calendar / Outlook Calendar — meeting detection and brief attachment to calendar event
  • Gmail / Outlook — full email history per account contact (read)
  • Notetaker / Gong and similar tools — past call transcripts and summaries (read)
  • monday CRM — deal record, account data, open items, and MEDDIC fields (read); forecast probability (write)
  • LinkedIn / Clearbit — contact profiles, role changes, and tenure data
  • News and web search — company news, press releases, and funding signals (read)
  • Slack — brief delivery as a direct message from the agent
  • WhatsApp / mobile push — short-form brief delivery for mobile
Note: Contact profile data from LinkedIn is fetched fresh at brief-generation time, not cached. This ensures contact intelligence reflects the most recent available information.

 

Mobile experience

On mobile, the Meeting Prep Agent delivers a condensed brief via WhatsApp message or push notification. The brief is also accessible from My Focus in the mobile app. The short-form version includes key bullet points per section and is designed for quick reading between meetings or while commuting.

The full six-section brief, agent settings, and on-demand invocation are available on desktop only.

 

FAQs

What meetings does the agent prepare briefs for?

The agent detects any meeting with a CRM-matched external contact scheduled 24 to 48 hours ahead. Internal meetings without a matched CRM contact are not included.

Can I get a brief for a meeting that is less than 24 hours away?

Yes. Type a request in the agent chat on the deal item page at any time to generate a brief on demand. On-demand briefs complete in under 60 seconds.

I did not receive a brief for an upcoming meeting. What should I check?
  • Confirm the agent is active and your calendar is connected
  • Verify the meeting attendee is matched to a contact in monday CRM
  • Check that the meeting is scheduled at least 24 hours ahead
  • Review the Activity tab for run details or errors
