Have you encountered any issues while trying to use the Gmail Integration? Don't worry! Here's a guide on how to easily resolve the most common issues.
Connection has been deactivated
If you see this error message: "The connection to your Gmail account has been deactivated", it means that the connection between your monday.com account and Gmail account was disabled. To fix this issue, you can refresh this connection.
How to resolve the error from the Autopilot hub
First, access the Autopilot hub by clicking on the Autopilot hub robot icon located on the top right bar of your board:
You can also access the Autopilot hub from your left pane menu. If you do not see it there, please follow these instructions to pin it there.
Next, click on the Connections tab on the left. Find the Gmail integration and then click on the three dot menu on the left. Click on Reconnect to refresh your connection.
How to resolve the error from your board automation page
Click on the Integrate button located on the upper right of your screen. Once in the board Automations page, click on the Manage tab at the top of the page.
Next, click on the three dot menu next to one of your Gmail integration templates and then click on Edit to the right of the connected email address.
Then, from the following screen, click on Use another account.
You will then be redirected to the following screen, click on Connect to re-establish a connection with your chosen Gmail account.
Help with integration issues
Sending mass emails
If you're trying to send a mass email and your integration isn't working, you may have exceeded the limitations set by Google. To learn more about these limitations, please check out our Gmail Integration Limitations article.
Click on the Autopilot hub from the left hand menu:
Next, click on the Connections tab on the left. Find the Gmail integration and then click on the three dot menu on the left. Click on Reconnect to refresh your connection.
Next, click on Use another account:
From there, you will be able to recreate the connection. This should solve the issue, but if not, check out the unsync option below.
Unsync the integration
If you no longer need the Gmail Integration, follow these steps:
Navigate to your Google Account Security settings and then scroll down to Your connections to third-party apps & services.
Click on See all connections, and from there select the monday.com option. Scroll all the way down and click on Delete all connections you have with monday.com to unsync your account.
Check whether you have auto-forwarding or a filter on your inbox
If you're still having trouble, check whether you have auto-forwarding on or if you have a filter on your inbox that automatically sorts your incoming emails into folders. If so, try turning these settings off and see if the integration works for you.
Changing connections
If you wish to override any previous connections, follow these instructions to revoke access for other monday.com users and accounts from the desired Gmail account:
When logged into Gmail, go to https://myaccount.google.com/permissions
Scroll down and click "Manage third-party access." Click on monday.com and then click the blue "Remove Access" button
After revoking access, you can follow the instructions in this article to reconnect the Gmail Integration.
If you are using the Emails & Activities app and you wish to receive further instruction on setting up a connection with the app, please visit the "Error while connecting" section of the Emails & Activities article.
Email automation loop
When sending an email from within monday, an update on your board will be created automatically. Therefore, if you have set up an automation such as "when update is created, send email to someone", an automation loop will occur. The email being sent out will automatically create an update on the item on your board, which will then trigger the automation template.
In order to end the automation loop, the automation template needs to be deactivated from within the Board Automations page. Click on the Manage tab at the top of the screen, locate the automation template that is causing the loop, and toggle it off as shown below:
