To ensure compliance with data protection regulation (like GDPR and other data privacy laws), the Legal Basis field is an integral part of the Contacts feature. You will need to declare a lawful basis for each contact you add or import. We'll walk you through everything you need to know.
Where to find the Legal Basis settings
Within the Workspace settings, you will find the Legal Settings page and the Legal Basis section. All available Legal Basis values that can be selected in the product are listed there:
- Consent: The individual has explicitly agreed to receive communications or have their data processed
- Contract: The processing is necessary to fulfill a contract with the individual (for example, a customer agreement)
- Legal obligation: The processing is required to comply with legal or regulatory requirements
- Vital interests: The processing is necessary to protect someone's life or physical safety
- Public task: The processing is carried out in the public interest or by an official authority
- Legitimate interest: The processing is necessary for your organization's legitimate interests, and these do not override the individual's rights
- Not applicable (N/A): No legal basis has been selected yet. This is the default value and should be updated to one of the valid bases.
Legal Basis column in Contacts board
Once you have updated your settings, a new Status column called Legal Basis will be added to the Marketing Contacts board. The values in this column will match the list from the Legal Settings page. You will be able to edit the field for each contact.
Importing a CSV or Adding from a form
When importing contacts with a CSV file, you will be required to map a Legal Basis field. If the column is missing from the CSV, you will be prompted to select a default value for all imported contacts. If no default is selected, the N/A value will be used.
CRM import
When importing contacts using monday CRM, you will be required to select a Legal Basis that will apply to all imported contacts. If it is not provided, the import will not work.
