Enhancing your forms using pre-fill and form tags can make form submissions faster, more accurate, and easier to track. These features help automate data entry and streamline workflows by auto-populating specific fields and tagging submissions for easier filtering and follow-up.
Whether you're managing client intake, project requests, or internal feedback, understanding how to use Pre-Fill and Form Tags can significantly improve efficiency and data consistency across your boards 🏅
The Pre-Fill setting
Having pre-populated form fields gives you a more personalized and faster submission experience. By selecting a "Pre-fill value" for certain question types within your WorkForm, information will auto-populate when submitters are filling out their forms.
When using the pre-fill value, you can choose between two "Source" types: "Account" or "URL parameter." Let's take a look at each option and how to set them up!
Account pre-fill value
The "Account" pre-fill value is extremely useful for monday.com account holders sharing a form internally. The setting will pull account data from a logged-in monday.com user to auto-populate specific questions, such as their name.
To set this up, click on the "Question settings" button in the bottom left of the question. A "Question settings" window will appear on the right-hand side of your screen. From here, select "Account" from the dropdown menu under "Source", and then select which "Field" of information you would like the question to pre-fill.
As long as the submitter is signed into the monday.com account, the question will be auto-populated with the answer by pulling data from their account details, ensuring that they do not need to fill in that question independently.
URL Parameter pre-fill value
The URL parameter pre-fill value allows you to customize the form's URL so that it auto-populates specific questions based on the information you add to the URL. This is useful when sending your form to users external to your monday.com account, but still allowing for pre-filled information to be populated.
For example, if you own a book delivery company and would like to ensure that the form link you are sending auto-populates the question asking for the "Source" of the request, you would call the "Parameter" by the subject you are looking to retrieve, i.e., "Source", and then add the value of that parameter to the URL, i.e., "source+=BookNookRequests"
To set this up, select the toggle next to "Pre-fill value" in the question settings, and select "URL parameter" from the source dropdown menu. Next, type in the "Parameter" name, being the subject you are looking to retrieve. Click "Set":
Next, open your form by clicking on the "Preview" button in the top left corner. Once your form is open, go to the URL at the top of your browser, locate "Source=" within the URL, and input the value you want to display for that question, i.e., "TheBookNook."
Once this form URL is sent to the submitter, the question will be auto-populated with the answer, ensuring that the submitter does not need to fill in that question independently.
The "URL parameter" can also be individualized by adding different values at the end of the URL before sharing it. For instance, if you wish to send the form to someone specific, you can have the URL parameter pre-populate the person's name by adding their name to the end of the URL, i.e., "name=Elizabeth":
Available question types for pre-fill
Various question types support the pre-fill setting. When using the URL parameter, each question should be configured according to that specific question type. The table below indicates the available question types, whether they can be used for either Account or URL parameter, and examples of how to navigate the URL configuration.
Here is an example of a WorkForm URL with pre-filled answers:
You can replace the values in this link with your own. For example:
- name= John%20Smith → change to the person’s name
- email= john%40example.com → change to their email
- color= Red → must match one of your form’s options exactly
- hobbies= [%22Reading%22,%20%22Writing%22] → change the hobbies list
- country= IL → use a 2-letter country code
The following are quick tips on how to configure a URL:
The Form Tags setting
Form tags help track where submissions come from and gather campaign data. Adding a tag appends a URL parameter to the form link and creates a Text Column on your board, which is automatically filled with the tag for each submission.
To add a Form tag, click on "Add a tag" under the "Form tag" settings section and enter a "Tag name" in the text box below.
You can also use one of the "Recommended" tags to add to your form, streamlining the tagging process with predefined, product-specific tags! Simply click on one of the recommended tags below the URL text box.
After creating your tag, share the link to this WorkForm by clicking "Copy link." When sharing, you'll need to specify the value you want to collect for that response. In our example, we're using the form link within our Book Nook website, so we append "booksource=website" at the end of the URL.
When a response is submitted from the link, the newly created Text Column on your board will automatically fill in the Tag name.
Generating multiple form tags
If you are running a campaign on multiple platforms and would like to send your WorkForm link with different tags, you can manually modify the URL parameter to include the tag value specific to that source. This can help you keep track of where the submitter accessed the WorkForm.
For example, when collecting form responses from your website, Instagram, and Facebook, you can assign the Tag name "order_source" and modify the Tag value in each link to indicate the source, such as "website" in the URL.
When these links are shared across different platforms, submissions through each link will automatically update the "order_source" column with the respective platform on your board.
