The Resource Directory is a central hub at the account level where you can manage all of your company’s resources. You can define attributes like job roles, skills, locations, and resource managers, assign them to resources in your account (including viewers and guests), and filter them to quickly find the right match for your projects.

When the Resource Directory is set up, resources and placeholders can be added directly to a project’s Resource planner, so you can be confident that the right people are assigned to the right work.

 

Locate the Resource Directory 

Click on your profile picture and select Resource Directory right under Administration:

Note: To access the Resource Directory, you must be an admin or have the Access resource directory account permission enabled. 

 

When you first open the Resource Directory, it may take up to 24 hours for all members, teams, viewers, and guests to appear:

Manage attributes

Select Manage attributes to define the attributes you want to track, such as job roles, skills, and locations. You can also set up placeholders to cover upcoming needs in your projects. Within each category, you can create custom labels that reflect your organization’s requirements.

Note: You can add up to 500 values per attribute. These values cannot be deleted, but you can rename or deactivate them at any time.

Tip: Job roles you create in the Resource Directory will also be available to select as placeholders in any project’s Resource planner.

 

Assign attributes to team members 

Once your attributes are ready, you can assign them to resources in your account, including viewers and guests. You can also assign a resource to a team so you have full visibility of how they’re grouped. Attributes can be assigned individually or in bulk, allowing you to batch-assign roles, skills, or locations.

Note:  Each resource can have up to 30 skills assigned, but only one job role and one location.

 

Assign Resource managers

The Resource manager attribute helps you keep ownership clear and quickly focus on the right set of people when planning and staffing work. You can assign one or more resource managers to each person in the Resource Directory so it is always clear who is responsible for each resource:

Anyone who can access the Resource Directory can update this attribute. Once it is populated, managers can filter the Resource Directory by Resource manager to view only the people and teams they oversee.

Tip: The same attribute appears in the Resource planner and Capacity manager, where you can filter and group by Resource manager when assigning work or reviewing capacity.
