Overview

Data Set is a work surface inside monday.com designed for managing up to one million items in a single table. It is built for teams that need a single source of truth at large scale, such as CRM leads and contacts or service tickets, without splitting data across multiple boards.

Use this guide to understand what Data Set is, how it differs from a standard board, what it supports, and how to request access.

 

What is a Data Set? 

A Data Set behaves similarly to a board, but is designed specifically for high-volume data. Where a standard board supports up to 100,000 items, a Data Set supports up to one million items and up to one million connected items in a single table.
To keep performance reliable at this scale, some board capabilities are not available in Data Set. See the Limitations section below for the full list.

  • Resource directory entries
  • AI data enrichment workflows

Limitations 

To maintain performance at scale, the following capabilities available on standard boards are not supported in Data Set:

  • Only the first 20,000 items are shown in table view at a time; you can filter and sort to access any item in the full million
  • Subitems are not supported
  • Built-in groups are not supported
  • Footer rollups are not supported
  • Drag-and-drop reordering is not supported
  • Filtering on mirror columns and formula columns has temporary limitations
  • AI columns are not supported
  • Cross-board reporting is not supported; only a single Data Set per dashboard
  • Worksurface widgets (Gantt, Kanban, Workload) are not supported in dashboards

 

When to use a Data Set vs. a board 

A Data Set is the right choice when all of the following apply to your use case:

  • You need a single source of truth with no duplicates
  • Items are created and triaged in one central table
  • You are working with a static data set for reporting purposes

In other scenarios, standard boards may be a better fit. For example, if different teams or geographies manage their own separate lists of leads or contacts, each team can work from its own board without the limitations that Data Set enforces.

Note: Hierarchical use cases such as accounts with nested contacts are not suited to Data Set at this time, as subitems are not supported. How to get access 

H2 Set is currently in Beta and is available to monday CRM Ultimate and monday campaigns Enterprise customers. There is no self-serve creation experience at this time.

To request access, reach out to your account manager. They will confirm eligibility based on your plan and guide you through the setup process.

Tip: Data Set is included in the monday CRM Ultimate and monday campaigns Enterprise plans, which are based on the number of leads and contacts. It is not sold as a separate add-on.

FAQs 

How is a Data Set different from a board?

A Data Set works like a board but supports up to 1 million items in a single table. To support that scale, some board features such as subitems, groups, and drag-and-drop reordering are not available.

The table view displays the first 20,000 items at a time. Use sort and filter to surface any item across the full Data Set (up to 1 million items).

Is Data Set included in my plan or is it an add-on?

Data Set is included in the monday CRM Ultimate and monday campaigns Enterprise plans. It is not sold as a separate add-on. Contact your account manager to confirm availability on your plan.
