Overview

Generate custom financial documents to manage client transactions more efficiently! With the Quotes & Invoices, you can create, manage, and track quotes and invoices. Quotes & Invoices integrates with your existing CRM boards to pull in information about your contacts, products, and services.

Quotes and invoices created inside monday.com generate structured data on the Quotes & Invoices (Q&I) board. This allows you to report on products, revenue, discounts, and performance using board views and dashboards.

 

How reporting works 

On the Quotes & Invoices board, items represent quotes or invoices. Subitems represent individual line items from the pricing table. When creating a quote or invoice, subitems are generated automatically.

Note: Subitems generated from quotes and invoices are read-only and can’t be added, edited, or deleted manually. 

This structure allows you to analyze quotes and invoices beyond the document level, using product line data directly in views and dashboards.

 

Create reports 

You can report on quote and invoice data using board views or dashboard widgets.

1 Open the Quotes & Invoices board

2 Add a new view

3 Select Chart from the view list

4 In the Chart or the widget settings, choose Subitems and select the relevant columns

This allows you to break down quotes and invoices by product, revenue, discount, status, or other available fields.

 

Enhance reporting

To enhance the data in your reports, you can add columns to include additional information or connect a board and mirror its data.

Add columns

You can add columns to the Q&I board to support reporting and workflows, such as:

  • Total discount
  • Quote expiration date
  • Invoice due date
  • Status fields for automation triggers

These columns can be used in dashboards and referenced by automations tied to quotes or invoices.

Connect boards

You can enrich product-level reporting by connecting subitems to other boards. 

1 To do this, connect subitems to a product catalog board using the Connect board column:

2 Using a Mirror column, mirror fields such as product type, category, or inventory status:

Tip: Connected and mirrored columns reflect board data dynamically, rather than snapshot values generated in the document. 
 

 

 

What’s coming next 

Note: While the following reflects our intentions for the future of Quotes & Invoices reporting, we can not guarantee that these exact feature improvements will be implemented.

A dedicated dashboard view will include pre-built reports such as:

  • Average number of quotes generated per month, grouped by rep
  • Average number of quotes per deal item, grouped by rep
  • Number and value of paid invoices by month
  • Aging invoices where the due date has passed, and the status is not paid
  • Average total discount by rep on quotes and invoices
  • Average discount percentage by product
  • Average discount percentage by recipient

 

FAQs 

Which line items appear in reports?

Only sellable line items from the pricing table appear as subitems on the Q&I board.

Can I edit product subitems manually?

No. Subitems generated from quotes and invoices are read-only.
