Overview

The monday CRM AI Sales Agent conducts voice outreach and SMS follow-ups from your account. Describe what you want your AI Sales Agent to do, and the agent will take care of the rest. 

You can run several agents in parallel—each with its own instructions, call rules, voice, and language. Multiple teams and campaigns can work side by side without overwriting each other. You stay in control: every call is logged in the lead's timeline with a summary, transcript, and outcome.

Set up your AI Sales Agent

You can open your AI Sales Agent from your Leads board or from the left pane.

On your Leads board, click the AI Agents dropdown at the top of the board. Select AI Sales Agent:

Open the monday AI dropdown and select AI Agents. Then, select AI Sales Agent:

To set up your agent according to your team's specification, follow these steps.

Step 1 — Describe the agent

Write a short prompt explaining your use case. For example: "Call inbound demo requests within 5 minutes, qualify budget and timeline, and gauge interest in a follow-up." Click Create agent to begin set up.

The agent generates a name, opening line, instructions, voice, language, and SMS template.

Step 2 — Review and edit

You can edit the language, voice, name, speaking style, instructions, opening message, SMS body, and dynamic column variables. A detail meter helps you tell whether your prompt is rich enough. Invalid column references are flagged in red.

On the right, you can input your number and click Start test call to test the agent. Check that you're satisfied with its settings before proceeding by clicking Next.

Step 3 — Pick the board and phone column

Select the board your agent will work on, then choose the column on your board where phone numbers are stored. All numbers must have country codes. If numbers are missing country codes, you'll see a warning banner before you can activate.

Click Activate agent to continue.

Step 4 — Add the trigger

After confirming the agent, you'll be taken to monday Automations to set the trigger that prompts the agent to make a call. For example: "When status changes to Qualified trigger agent to call the contact."

How to use your agent

Use multiple agents

You can have multiple AI Sales Agents. You can switch between agents using the AI Sales Agent dropdown agent picker. Each agent keeps its own drafts and configuration.

Review call activity

Click on the agent to open it. Select Call activity to see every call, its status (Completed, Failed, Invalid number, Dropped under 15s), and the call summary.

Per-item timeline

Every call also appears as a timeline activity on the item, with the agent name, summary, and phone number.

Edit an agent

Open the agent, click the three-dot menu, and select Edit to update any field.

Languages and coverage

  • Our AI Sales Agent voices are hand-curated and powered using 11Labs. 
  • At present, there are 4 supported languages: English, Spanish, German, French
  • Outbound calls are only supported from the US

AI credit usage

The AI Sales Agent runs on AI credits. Credits are used as follows:

Tip: A 20-minute call uses approximately 600 credits. Monitor your balance in account settings to avoid unexpected interruptions.

If your account runs out of credits, the agent stops making calls and you can no longer create or activate agents until credits are added. There is no grace period for outbound calls.

 

FAQs

Can I run more than one agent at the same time? 

Yes. Each user can create up to 10 agents and switch between them from the agent picker. Agents run independently and don't overwrite each other's settings.

Can I use the agent on any board? 

Yes. During setup you choose which board the agent works on and which column holds the phone numbers. The agent is not limited to the Leads board.

Why does my agent need a country code on every phone number? 

All numbers must have a country code (i.e. +1 for the USA, +44 for the UK, etc.). Without a country code the call cannot be routed and will fail. The setup flow flags missing country codes before activation. 

What happens if a lead is already on a call with another agent? 

Only one live call per item is allowed at a time. A second call to the same item is blocked until the first one finishes.

How do I stop an agent from operating? 

Open the agent, click the three-dot menu, and choose to pause or reset it. Resetting deletes the configuration permanently.

How are calls logged? 

Each call creates a timeline activity on the item with the agent name, phone number, summary, and a link to the full transcript.

How does monday.com protect call data? 

Calls follow the same security standards as the rest of monday.com— AES-256 encryption at rest, TLS 1.3 in transit, and Zero Data Retention with AI providers. See the Trust Center for details.

What features can we expect to see added to AI Sales Agent in future releases?

The Knowledge section will allow you to upload product one-pagers, FAQs, pricing sheets, and catalogs. The agent can use these sources to answer questions confidently.

What are the AI Sales Agent's known limitations?

  • Inbound calls are not supported (outbound only)
  • Calls cannot be transferred to a human agent
  • Bring Your Own Number is not yet available
  • Knowledge sources are not yet available (coming soon)
  • Voicemail handling is not configurable
  • The SMS body uses a fixed template
  • Industry-specific prompt presets are not yet available (generic presets only)
