What are data layers?
Adding data layers to your connected monday items means choosing which information should appear on your canvas from that specific item, and creating a set of rules that will alter the appearance of the item's element based on the data meeting those rules.
Customizing your items
Adding monday items to your canvas is customizable, ensuring that the visuals on your canvas are suitable for what you are showcasing. You can transform any sticky note or shape into a monday item by dragging the item card from the left-hand panel and dropping it on top of the element.
Once the item is attached to the element on your canvas, you can choose which information from the item you would like to appear. Click on the element and select the "Display data" icon from the menu that appears. From here, use the checkboxes next to the relevant information from the item that you would like to appear.
You can also easily move the information around within the element to customize its order. Simply click on the text you wish to move and drag and drop it where you would like within the element.
Add a data rule
A data rule lets you change the color, outline, or size of a shape or sticky note based on item data. This ensures that your elements are customizable according to the item data.
To add a rule, click on the "Style" icon on the menu bar, then click on each information block and select values from the dropdown list. We will use a U.S. map showing a company's distribution points, with each circle colored by state. The rule below shows that if the item's 'State' is 'Utah', the element should be color-filled pink.
A rule can only be added to an element that already contains an attached item. When you drag a new item to that element, a note box will appear asking if you would like to replace the data in that element with the new item or keep all the items attached to that element.
Selecting "Replace items" replaces the item on the element and applies any rules set if the conditions match. For example, if the shape has a rule to turn blue when the "State" is "New York", and you add a new item with that status to that shape, the shape will change color.
Adding multiple rules
You can add multiple rules to an element so it changes based on different data points, ensuring items appear clearly and consistently on your canvas.
For example, following our use case, we would like to represent each state on the map in a different color. To color each circle by state, click '+ Add rule' in the rules tab and complete each rule block.
Rules apply only to the specific element they’re set on and won’t carry over to new elements, even if the new element added is the same type, i.e., a circle.
To reuse rules with different items, duplicate the original element and add the new item to it. Therefore, below, we are duplicating the original orange circle and dragging items for the different states onto the duplicate.
Now that each state has a distribution point customized by color, we can add an additional data layer to represent the various products available at each warehouse. We will add a new rule to the original element to change the "Stroke color" to green if the "Product" is "French Lavender".
When we duplicate the original element and add new items to it that represent our product "French Lavender" in the different states, the circle and stroke color will change accordingly.
To see our final visual, below is a canvas that details each distribution point on the map, color-coordinated by state and outlined according to the different products stored at that location.
