Are you in the process of planning your next sprint and are tired of having to ask everyone about their time off and manually calculate story points? With monday dev's Sprint Capacity planning, there's a much simpler way to get this all done.

 

 

 

What is Sprint Capacity planning?

Sprint Capacity planning is a feature that helps you organize, plan, and monitor the workload of an upcoming sprint. No more using a calculator and chasing after everyone to tell you how much they can handle and when their days off are. Automation is the name of the game! Group 1 (34) (1).png

 

How does it work?

You can find the Capacity button in your sprint header, as seen below:Group 2 (1).png

 

The Capacity button will show the team's overall workload while taking into account tasks' estimated story points and each team member's work capacity. 

 

Note: Capacity planning is only available for sprints that have not yet started. If it is still not showing up, try to refresh the sprint.

 

Clicking on the Capacity button will open up a dialog with a breakdown of the workload by team member:Group 2 (2).png

 

Edit team capacity

In order to make changes, click on the Edit team capacity button:Group 3.png

 

This will open up a modal where you can plan work days and velocity for each team member: Group 1 (33).png

The Capacity feature

The Capacity feature lets you plan team capacity per sprint.

When the Capacity feature is first enabled, the system creates the hidden Capacity board inside the solution folder and connects it to the Sprints board via a Connected Board column.

When a new sprint is created, the system automatically creates capacity entries on the Capacity board for each team member, copying them from the most recent sprint's capacity data.

Each capacity item represents one person in one sprint and includes the following:

  • An Owner (the team member)
  • An Avg. velocity (story points per day, default: 1)
  • Vacation days and Team days off (deductions)
  • A Sprint timeline mirror that pulls the timeline from the connected sprint

The Capacity formula calculates the number of working days in the sprint (from the timeline), minus vacation and team days off, multiplied by the person's velocity. This gives the total story points the person can handle in that sprint.

If the Sprint timeline is missing or broken, the Total working days formula returns 0, which means Capacity will show 0 for everyone. This can happen if:

  • The Sprint timeline column on the Sprints board was deleted or renamed
  • The mirror column on the Capacity board lost its connection to the Sprints board
  • The Connected Board column linking the Capacity board to the Sprints board was changed or deleted

When a team member is added or removed from tasks, the system can automatically update their capacity entry on the Capacity board.
