Emails & Activities: timeline summary with AI

 

Who can use this feature:
By default, all monday CRM users
Available on Pro and Enterprise monday CRM accounts

 

The AI Timeline Summary uses AI to generate concise summaries of interactions and communication with leads and customers within monday CRM. The summaries will be logged on your lead or client's Emails & Activities timeline. 

 

Introducing the AI summary

The AI Timeline Summary simplifies the research process that many sales reps and managers have to take to gain a complete understanding of a team's history across different communication channels. With this features, you can save time and gain a well-rounded understanding of a lead or customer's needs.

The AI Timeline Summary creates a short, clear summary of all communication events, such as emails, calls, meetings, and notes. These summaries can be used by sales and support teams to quickly understand the history of your team's engagement with a lead or customer.

 

Who is it for?

monday CRM users on a Pro or Enterprise plan have access to the Emails & Activities AI summary. This feature is ideal for:

  • Sales Representatives preparing for calls and meetings.
  • Sales Managers who need a quick, high-level overview of communication efforts with a lead or customer. This can help managers to more efficiently monitor deal progress, identify areas for improvement, and provide guidance and feedback to their reps.

 

Creating a summary

To access this feature, open Emails & Activities. At the top of your timeline, you will see a button that says "AI summary":

When you click on the button, monday AI will begin to generate a summary. It will show you the proposed summary:

At this point, you can choose whether or not to add the summary to your timeline. If you don't want to add the summary to your timeline, you can click "Cancel":

To generate a new summary, exit the window and click the "AI summary" button again.

 

Privacy and permissions

Permission to use monday AI

To use the AI Timeline Summary feature on a Pro account, an account admin needs to approve the account's ability to use AI. 

For Enterprise accounts, the feature will only be available to your account if an account admin has approved your account's use of AI with your Account Manager.

Private activities and events

All privacy settings for Emails & Activities are still in effect for the AI Timeline Summary. However, if you or another team member has the ability to see private activities or events, such as private emails, that private information will be included in the summary. In this case, you will see a warning that adding a summary to the timeline might expose private information to the rest of your team.

 

FAQs

How far back does the timeline summary go?

There isn't a time limitation on the summary, but there is an event and activity limitation. The AI Timeline Summary will summarize the last 10 timeline events or activities. 

What does the feature summarize?

The feature will summarize the 10 most recent timeline activities or events. It will disregard other AI summaries in the timeline. If an event or activity is longer that 35,000 characters, it will not be summarized.

How often can I use this feature?

Trial accounts can only use this feature twice each day. For full usage, a trial account can consider upgrading. Pro and Enterprise plans have unlimited usage.

What languages can you use with the AI Timeline Summary?

We're starting with English, but this feature will soon be available to use with any language based on your team's Emails & Activities content.

How accurate are the AI summaries?

Because the summary relies on your team's recorded events and activity, the accuracy of AI-generated summaries depends heavily on the quality and completeness of the data recorded in your monday CRM.
