Create and save templates on WorkCanvas

 

 

We know how much time and energy goes into creating a great canvas. We therefore understand the value in having that canvas saved as a custom template for various members and teams to use, both on your account and beyond.

Save to template library

Once you have created your canvas with all the key elements and structures, you can choose to save the canvas as a custom template either for private use or as a template across the account. 

  • Private custom template 

A private custom template can be created, that will only be accessible to you. Click on the template icon in the top left-hand corner of your canvas, next to the WorkCanvas logo. From the dropdown menu, select "Save in library". A window will appear where you can fill out the name and description of the template, as well as who can use the template. Select the "Private" option, and click "Save template".

When you go to add a template on your canvas, the saved custom template will appear in the template center, under "My templates". You can then add that template to a new canvas.

Private templates are for personal use and will only appear under "My templates" if you are the owner of that template. 

 

Note: When saving a custom template, a description must be added in order to save the template. 

 

  • Account custom template 

A custom template can also be created and shared for use across the WorkCanvas account. Click on the template icon in the top left-hand corner of your canvas, next to the WorkCanvas logo. From the dropdown menu, select "Save in library". Fill out the name and description of the template in the window that appears. Next, select "Account" to make this template available to all account members and click "Save template".

Synced items on your canvas are not supported when creating a custom template. If you have monday.com synced items on your canvas a window will appear with the option to save the template without the synced items, or to cancel saving the template.

Share template link 

Your custom templates can also be shared via a link. This link can be used across accounts, giving you the option to share the template to people external to your account.

To create a shareable link click on the template icon in the top left-hand corner of your canvas, next to the WorkCanvas logo. From the dropdown menu, select "Save as link". From the window that appears select "Create a template link". Once the link has been generated you can copy the link to share it.

When a user accesses the shared link, a page will open with the option to "Use template". Once they have clicked on the "Use template" button, the custom template will open on their WorkCanvas account.

Tip: No need to save a shared template twice! When sharing a template via the template link option, the template will automatically also be saved to your account under "My Templates" or "<account name> Templates". 

 

If you would like to make edits to your custom template you can update the template link to reflect those changes. The link will remain the same however the changes you have made to your template will now be visible. To update a link, click on the "Save as link" option, as seen above, and select "Update template link".

You can also easily delete your template link by clicking on "Delete template link". Once deleted, the link will take users to a page informing them that the link is invalid or expired.

Note: Canvases created via the template link prior to deletion will not be effected, only users trying to create the template after the link was deleted will receive the above error message.

 

Use a custom template 

From within the template center you will find your private custom templates under "My templates", and all your account custom templates under "<account name> Templates". Click on "Use Template" to add the template to your canvas.

Note: If you are the owner of the template you can edit the template name and description, or delete the template, from within the Template center by clicking on the three dots in the top right-hand corner of the template.
