Emails & Activities: AI email assistant

The Emails & Activities app is an incredibly powerful tool for managing your relationships. Now, with the AI assistant, composing emails is easier than ever. This article will walk you through how to use the AI assistant to write emails in Emails & Activities.

Create a new email

Open Emails & Activities, and click "New email" to compose a new email:

The email composer will pop up. The app features a fully functional text editor. You can alter text, upload and attach files, add hyperlinks, and more.

Use the AI assistant

If you're having trouble composing your email, the AI assistant can help you out. To open the assistant, click on the AI icon ():

You can start a dialogue with the AI assistant. You can choose from the pre-made prompts in the "Examples" section or write your own prompt for AI. If you choose to make a custom prompt, click "Use AI to write an email" to open a text box and give instructions.

After you generate an email, click the copy icon () to copy the text:

When you click copy, the text will automatically paste into your email draft. The AI Email Generator dialogue will also close.

Of course, we always recommend reviewing AI generated content to check for accuracy.

You can further customize your email by adding dynamic fields. Click on the columns icon () to add a dynamic field that will autopopulate data from the columns on your board.

If you use this option, information will be pulled in from the selected column for each email you send.

 

Tips for writing prompts

The key to being successful with this app is writing a good prompt. To write a proper prompt, you need three components:

  • A directive. Good examples are "write an email", "craft an email", and "generate an email".
  • Conditions. Include any conditions that alter the directive. For example, the email might be a "follow up" email rather than "initial contact". 
  • Other important details. This might include that the client has not been in contact for some time, that you're targeting startups, or that the email will be sent after a demo.

If you aren't satisfied with the results, you can redirect the AI assistant with specific instructions. For example, I want the email to sound friendlier, so I tell the AI assistant and it sends back an updated draft:

You can repeat this process as many times as needed to get your desired results.

 

Give AI feedback

When AI generates an email for you, you can review it and give feedback to improve future results.

Click the thumbs up if you're satisfied with the results. Click the thumbs down if you aren't.

To give more direct feedback, open the three-dot menu at the top right of the dialogue. Click "Give feedback" to open the feedback form.
