Strategic project management for marketing

Whether you are defining project timelines, prioritizing tasks, determining goals and metrics to measure by, or more, managing marketing projects involves many moving parts. To make sure everything is completed in a timely matter, it is crucial to strategically plan out your projects at a high level and to stay organized at all times.

In this guide, we'll explore a Marketing High Level Plan workflow to get you on the right track to managing your marketing projects effectively. Let's dive right in!

Use a template to easily get started

In this guide, we'll explore the Marketing High Level Plans board located in the monday marketer product! Alternatively, you can also check out a similar board as part of our pre-made templates! In the WorkOS category of the Template center, we have a "Marketing team planning" template which can be fully customized to your own liking.

With your template board ready to use and customize, let's learn about the workflow!

Marketing High Level Plans board

The Marketing High Level Plans board is the go-to place for management to strategically plan out marketing initiatives for the year ahead. Using this board, every marketing project can be added as an item and all of its details can then be mapped out using the columns.

Note: The workflow presented here is just a suggestion! As with any board, you can customize the groups, items, columns, & more, as you see needed.

How this board is structured

  • Groups: The groups on this board represent the quarter of the year in which each marketing project will take place.
  • Items: In this workflow, the items represent the various marketing projects or initiatives that are running or being worked on.
  • Columns: The columns on the board help each marketing project come to life, allowing you to map out different aspects of each such as the owner, goal, project timeline, budget, and more.

Tip: You can really get creative with the column types that are used here! Check out this article to learn more about what's available.

By default, you'll notice that conditional coloring is applied to this board to highlight whether there is a remaining budget left after the amount spent (green) or whether the amount spent went over the allotted budget (red). This is calculated using a Formula Column that comes ready made on this board!

Formula used: {Budget}-{Budget Spent}

Brainstorm project ideas with workdocs

Workdocs are a central place to collaborate, plan, and execute with your team, making them the perfect platform to brainstorm your brilliant marketing ideas! Using the Files Column on your board, you can instantly create a new workdoc and begin to brainstorm your marketing plan goals, outlines, and more along with your team.

Bring project durations to life

When managing multiple projects simultaneously, it is important to be able to easily oversee timelines in a high-level view. For this reason, the Gantt View can be used to provide an robust, organized, and fully interactive visualization of all project plans!

Tip: Check out our dependencies to see how you can seamlessly define and visualize relationships between each marketing project or initiative.

Analyze project data with the Chart View

The Chart View converts the information from a board into a custom-made graph, providing a visual breakdown of board data organized in the way that you wish. Using the pre-set "Quarterly Budget Chart", you can easily understand how the budget is distributed amongst each project per quarter in order to help make any necessary adjustments moving forwards!

Link a project to its campaign

If any of your marketing initiatives require a campaign, you can easily link all the necessary campaign details managed on a campaign tracking board right onto your Marketing High Level Plans board. This can help to ensure that everyone is aligned at all times!

To do this, you can use the Connect Boards Column to select a campaign to link as below. Once linked, you can then view and edit all of the connected campaign details directly from the Marketing High Level Plans board.

Automatically create project boards

While the Marketing High Level Plans board is great for providing an overview of your marketing initiatives, it will also be useful to outline the lower-level details of each specific project! To do this, you can automatically create a new project board for each specific marketing initiative by using the "Project/Event Start?" column.

Selecting a label here, such as "Create Project", as we've done below, will allow you to instantly create a new project board for it thanks to our editable, pre-set automations. 🙌

Focus on important project parameters

Within any robust workflow, it can be really useful to extract specific pieces of information in order to better understand certain areas of the data that you are needing to see. To do this, you can filter your board to get a clean view of specific parameters that you need to see for your projects.

As an example, to see all of the marketing projects taking place in Q1 or Q2 with a "High" priority label, you can define the advanced filter as below:

Tip: You can save a filter to a view for easy access to it in the future!

Analyze project data

And finally, to get a clear, visual, and interactive overview of all our marketing project data, we have a dashboard view in place loaded with widgets!

Let's check out a few widgets that are useful for our marketing project reports:

  • The Chart Widget: We have two separate Chart Widgets which allow us to analyze the number of initiatives per goal, and the budget amount versus spend for each of our campaigns.
  • The Numbers Widget: Next, the two Numbers Widgets allow us to see the total yearly budget, and the remaining budget that we have left as a team.
  • The Gantt Widget: To see an overview of our project timelines and their relationships to each other, we've added the Gantt Widget! This was a must for us to be able to properly manage our projects at a high-level for the year ahead.

Have fun with it!

These boards, views, automations and more are intended to be a starting point to help you get started on the right foot with your workflow! You can use these exact boards if they're right for you, but don't be afraid to experiment and test out all of the amazing features on monday.com!

Make sure to check out other prepared templates and explore the Columns Center to see all of the ways you can use columns as building blocks to build out your own unique board! You can also customize your own automations, enable loads of integrations, and pull in data from multiple boards into high-level dashboards to really connect the dots in your marketing workflow. 🤩
