Whether you are defining project timelines, prioritizing tasks, determining goals and metrics to measure by, or more, managing marketing projects involves many moving parts. To make sure everything is completed in a timely matter, it is crucial to strategically plan out your projects at a high level and to stay organized at all times.
In this guide, we'll explore a Marketing plan workflow to get you on the right track to managing your marketing projects effectively. Let's dive right in!
Use a template to easily get started
In this guide, we'll explore the Marketing plan board located within a pre-made template called "monday marketer"! To get started, click on the blue plus sign and select "Choose from templates". Then, search for monday marketer, click on it and select "Use template". The template bundle will then be added right to your account and it can be fully customized to your own liking!
With your template board ready to use and customize, let's learn about the workflow! Note that in this article we'll only be focusing on the "Marketing plan" board and the elements within it.
The Marketing plan board
The Marketing plan board is the go-to place for management to strategically plan out marketing initiatives for the year ahead. Using this board, every marketing project can be added as an item and all of its details can then be mapped out using the columns.
How the board is structured
- Groups: The groups on this board represent the quarter of the year in which each marketing project will take place.
- Items: In this workflow, the items represent the various marketing projects or initiatives that are running or being worked on.
- Columns: The columns on the board help each marketing project come to life, allowing you to map out different aspects of each such as the owner, goal, project timeline, budget, and more.
Brainstorm project ideas with workdocs
Workdocs are a central place to collaborate, plan, and execute with your team, making them the perfect platform to brainstorm your brilliant marketing ideas! Using the Files Column on your board, you can instantly create a new workdoc and begin to brainstorm your marketing plan goals, outlines, and more along with your team.
Bring project durations to life
When managing multiple projects simultaneously, it is important to be able to easily oversee timelines in a high-level view. For this reason, the Gantt View can be used to provide a robust, organized, and fully interactive visualization of all project plans!
Analyze project data with the Chart View
The Chart View converts the information from a board into a custom-made graph, providing a visual breakdown of board data organized in the way that you wish. Using the pre-set "Quarterly Budget Chart", you can easily understand how the budget is distributed amongst each project per quarter in order to help make any necessary adjustments moving forwards!
Link a project to its campaign
If any of your marketing initiatives require a campaign, you can easily link all the necessary campaign details managed on a campaign tracking board right onto your Marketing plan board. This can help to ensure that everyone is aligned at all times!
To do this, you can use the Connect Boards Column to select a campaign to link as below. Once linked, you can then view and edit all of the connected campaign details directly from the Marketing plan board.
Focus on important project parameters
Within any robust workflow, it can be really useful to extract specific pieces of information in order to better understand certain areas of the data that you are needing to see. To do this, you can filter your board to get a clean view of specific parameters that you need to see for your projects.
As an example, to see all of the marketing projects taking place in Q1 or Q2 with a "High" priority label, you can define the advanced filter as below:
Analyze project data
And finally, to get a clear, visual, and interactive overview of all our marketing project data, we added a dashboard view loaded with widgets!
Let's check out a few widgets that are useful for our marketing project reports:
- The Chart Widget: We have two separate Chart Widgets which allow us to analyze the number of initiatives per goal, and the budget amount versus spend for each of our campaigns.
- The Numbers Widget: Next, the two Numbers Widgets allow us to see the total yearly budget, and the remaining budget that we have left as a team.
- The Gantt Widget: To see an overview of our project timelines and their relationships to each other, we've added the Gantt Widget! This was a must for us to be able to properly manage our projects at a high-level for the year ahead.
Have fun with it!
