Google Calendar Integration

 

You already have a clear and organized workflow in your monday account, but what about all of the meetings and reminders in your external calendar? We'll show you how to sync all of your items and tasks to your external calendar so you can see everything in one place. Keep reading to find out how to use them with our Google Calendar integration!  

 

Getting started 

There are two ways you can connect your monday account with your Google Calendar: 

  • Two way sync - if something is updated on your Google Calendar, it will reflect on your monday.com account (and vice versa)
  • One way sync - will allow you to display the dates from your monday board directly onto your calendar

 

Two-way sync

Add a Date Column and locate the integration templates

First, make sure your board includes a Date Column and start filling all of your data. Once done, open the Automation center from the Integrate button located on the top right of your board. Search for Google Calendar or select the banner from the Integrations featured.Group 64 - 2024-11-05T111455.604.png

 

There, you'll find the Google Integration templates. You'll need to add two templates onto your board for the two-way sync to work: One that creates an event in Google Calendar triggered by an action in monday.com and one that creates an item triggered by a new event in Google Calendar.

 

Add the first template and connect your account

Select a template that will create an event in Google Calendar triggered by an item on your board (one of the two outlined below).Group 64 - 2024-11-05T112330.671.png

 

Note: For the templates outlined above, any change to the item will trigger the integration to sync changes and therefore use an additional integration action, regardless if the column was mapped within the template or not. 

 

Then, if you haven't connected your Google account yet, you'll see the following screen appear prompting you to make the connection. Click on Connect to proceed.Screenshot 2024-11-05 at 11.25.25 1.png

 

Next, you'll be prompted to choose which account you want to connect with. Then you'll see the following screen, which will ask you to agree to the Google Terms and Services. Click on Continue to proceed: Group 64 - 2024-11-05T112835.221.png

 

Next you'll see the following screen, which will ask you to grant monday access to your Google Calendar account. Click on Allow to proceed:Group 64 - 2024-11-05T113615.193.png

 

Note: These permissions must be enabled in order for the Google Calendar integration to work.

 

Configure the first integration template

After completing the connection of your account, you'll be redirected to the template that you chose. There, click on the underlined fields in the template to configure it. In our example below, we selected the event field to map out how the Google Calendar event will appear according to the columns on our board.Screenshot 2024-11-05 at 11.39.26 1.png

 

Note: In order for this integration template to work, you must add a time to the start and end Date Columns of the item on your board.

 

Add the second template and configure it

Now that your first template is complete that will allow for an event to be created in Google Calendar based off of an item on your board, it's time to add the second template to create an item on your board based off of a Google Calendar event.Group 64 - 2024-11-05T114329.331.png

 

This time around, select on the item field and map out how you'd like a new item to be created on your board in accordance to the Google Calendar events that are added. Untitled design (88).gif

 

Watch the magic happen!

With both Google Calendar Integration templates set up, you should have a full two-way sync in place. Now each new item that is created or assigned to a specific person will appear as an event on the connected calendar and every new calendar event will populate as an item on your board.

 

Integration column

When adding any Google Calendar integration template, an integration column will be added automatically onto your board with a link to each respective Google Calendar event. Clicking on a link here will direct you right to the event on your own calendar.Group 64 - 2024-11-05T114813.308.png

The following fields are supported when using our Google Calendar two-way sync:

  • Description

 

One-way sync

Syncing your monday board with your Google Calendar will allow all the dates from your board to show directly in your calendar. The one-way sync is from monday to Google so if you update anything on Google calendar, this will not be reflected in your monday board.

 

First, make sure your board includes a Date Column or a Timeline Column. Once you have filled all of your data into a date or timeline column, you are ready to sync your calendar. 

Click on the three dots that appear on the column title once you hover on it, click on Settings and then on Customize Date column:Group 64 - 2024-11-05T115350.190.png

 

Google Calendar is the default calendar, so it already appears here under Sync column to calendar. All we have to do here is click on Sync next to Google Calendar.

The following window will pop up, allowing you to choose whether you want to sync only the "Items assigned to me" or "All items on this board". After you select an option, click on Sync, and you're done!Screenshot 2024-11-05 at 11.57.05 1.png

 

Note:  The board will be integrated as a new calendar (you can change its name in the left pane). 

 

Now you can enable reminders for your tasks. Go to your Google Calendar Settings, and under "Event Settings" select either "Desktop Notifications" or "Alerts"! 

 

Remove Google Calendar Integration

If at any point you want to remove your monday.com items from your Google Calendar, you can follow these simple steps:

Open your Google Calendar's permission settingsScroll until you see Your connections to third-party apps & services and click on See all connections:Group 64 - 2024-11-05T120131.144.png

 

Click on monday.com to manage these preferences. Scroll all the way down the page and click on Delete all connections you have with monday.com to disconnect it from your Google Calendar. Group 64 - 2024-11-05T120551.543.png
