Zoom Integration

Zoom is an online communication platform that allows you to run your meetings wherever you are! Now with our brand new Zoom integration, you can make sure you'll stay connected no matter what! This integration allows you to gain insights and gather all the information you need from the online meetings you have right into your monday.com account.

 

How to add it to your workflow?

Step 1

To add an Integration, go to the board you want to create an Integration for and click on the Integration button, located on the upper right of your screen as below:

Once on the page, you will see all of the amazing apps we offer to integrate with, then go ahead and select "Zoom":

Step 2

Once you click on the Zoom integration banner you will find the recipe the integration offers:

  • When hosting any meeting on Zoom, create an item and sync meeting details.
  • When creating a meeting in Zoom, create an item.
  • When a participant joins any meeting before the host, notify someone.
  • When a participant is waiting for the host on any meetingnotify someone.

Note:  Please note that this integration only supports Zoom meetings you're the creator of. 

 

Step 3

Once you click on the recipe you will be asked to enter connect your monday.com account with your Zoom account:

Then you will be asked to log in to your Zoom account login credentials as shown below :

Congrats 🎉  you are connected to your Zoom account, let's boost things up.  

 

Step 4

Once you've chosen the recipe and inserted your token, you will get to the integration window. This is where you will be able to set up your automation.

Note:  Please note that currently webinars are not supported by the integration. 

 

Add your meetings to your calendar

You can add your scheduled Zoom meeting directly into your calendar. To do so, you can use the below recipe:

Here, it is important to map each columns properly. For example, our date column on our monday.com board will be mapped with the schedule start time of the meeting:

Once a meeting is scheduled, you will then see the actual date and time of that meeting in your monday board:

Next, use the calendar integration to integrate that meeting directly into your calendar. Check out how to use the calendar integration right here

If you'd like your colleagues to have the meeting populate in their calendar, they can also synchronize this column to their own calendar. 

  

Use Cases

  • Use Case 1: when creating a meeting in Zoom, create an item. 

This integration is so helpful to keep track of your meetings and get all the relevant insights in one place. To get started, simply map out all the data into each column as below:

 Once done, click on 'Add to board'. That's it! The integration is now added to your board!  🎉

 

  • Use Case 2: when hosting any meeting on Zoom, create an item and sync meeting details 

This is integration will provide you automatically relevant insights from the meetings you are hosting. To get started, select which meeting/s you'd like to be added to the board:

Next, select which data will be mapped into each column:

Mapping the data is an important part of the process. This is where you can pick which insights you'd like to receive from your meeting. It can be the number of participants, the actual duration and more!

Once done, click on 'Add to board'. That's it! The integration is now added to your board!  🎉

 

Tip: You're then able to use both recipes to dive into each meeting individually, review and analyze each meeting and save everything in one centralized location.  If you do so, please make sure the item mapping of both recipes is identical in order to see all the wanted information :) 

 

Supported Zoom Columns 

Currently, the following meeting information from Zoom is supported by our monday.com integration:

  • Actual Duration
  • Actual End Time
  • Actual Start Time
  • Host
  • Host Email
  • Join URL
  • Meeting Agenda
  • Meeting ID
  • Meeting Name
  • Meeting Type
  • Participants
  • Participants Count
  • Recordings
  • Scheduled Duration
  • Scheduled Start Time
  • Timezone 

The following information is supported with limitations:

  • Recordings - Supported only for paid accounts. Please make sure Admin enabled cloud recordings. 
  • Participants Data - Supported only for Zoom Pro account and up. 
Note:  Currently the chat box of the meeting is not supported. This is something that we will like to implement in the near future so stay tuned! 

 

Zoom integration column

When selecting which data will be mapped into each column, the integration column will be added automatically with the tip that will explain the column purpose, to maintain the connection between the parameters in both apps:

Important Note 💡

Please note that in the past couple of days we've been making improvements to our Zoom integration! Due to these improvements, you might experience issues with the current connection between monday.com and Zoom.

In order to prevent these issues, please refresh the connection between monday.com and Zoom by following the steps listed below:

  1. Click on the integration tab

      2. Click on Board integrations

 

      3. Click on the ‘plug in’ sign 

 

      4. Choose “use another account” - Here you can choose the same zoom account, this action simply refreshes the connection.

 

That’s it! :)

 

Uninstalling the connection 

To uninstall the connection between monday.com and Zoom please follow these steps: 

  1. Login to your Zoom account and navigate to the Zoom App Marketplace.
  2. Click Manage > Installed Apps or search for the monday.com app. mceclip0.png
  3. Click the monday.com app.
  4. Click uninstall. mceclip2.png

What's Next? 

Very soon, you will have the ability to start a Zoom meeting right from your monday.com board! You'll also be able to receive a notification once your meeting attendees are in the meeting and map the participant's list to a people column on your board, and we're adding support for webinars as well as meetings!
