Some tasks are more urgent than others. With monday.com, you can visually prioritize your tasks and see in one glance what is urgent and what can wait. To do so, we have a few options for you.
Why prioritizing your tasks is important
While this might seem self explanatory, a lot of teams struggle with the "what to tackle and when". Deciding what's urgent and what's important will almost certainly help with the following for your team or personal workflow goals:
- Increased productivity
- Crush deadlines
- Manage your time better
- Manage your resources more effectively (assign the important tasks first)
Breakdown your tasks
List out all the tasks that needs to be completed. Don't hesitate to break them down to the most granular tasks that need to be completed.
Depending on the scope of your task/project this might feel a bit overwhelming and for some therapeutic, but once you have a visual on everything that needs to be done the next steps will be much easier.
Okay great you've listed everything you could think of that is a required for your task/project and now it's time to create some structure and attach priority. Try adding columns like:
- Time Estimates (Numbers Column)
- Priority, Task State, Urgency/Impact (Status Column)
- Deadlines, Expectation Setting (Date or Timeline Column)
- Accountability (People Column, Time Tracking Column)
Identifying priority could be as simple as adding a status column labelling it "Priority" with labels "Low" "Medium" and "High" or using our rating column.

These are effective but also very basic in categorization efforts. If you want to go a step further in complexity you could apply Eisenhower's Urgent/Important Principle here:
The rule of thumb with this principle is the top priority goes to Important & Urgent followed by Important, followed by Urgent, followed finally by tasks that are neither Important or Urgent. This method allows you to optimize being both effective and efficient.
Okay so now you have a complete list of all the things you need to do and you've successfully categorized them by priority using one of the methods above. Now let's add some deadlines to crush! You can add either a Date column or a Timeline column and some cool Automations to ensure nothing slips between the cracks.
