Who can invite users to join my account?

As an account admin, you may be wondering "who from my account can invite other users?". Well, this is a great question indeed! When it comes to inviting users onto your account, the login settings set in your account will affect who will be able to invite others.

In this article, we'll go look at four different login settings (email & password, authorized domain, Google SSO, SAML SSO) and how they affect who can invite users and for which user type. Let's get to it!

Tip: Before we jump in, you can learn about how to invite users onto your account here. Additionally, we recommend familiarizing yourself with the user types that we offer as well as the login settings that are available.

Email & Password

  • How does this setting work?

With the "Email & Password" setting active, users will be able to use their own email and password credentials in order to log into their monday.com account.

Authorized domain

  • How does this setting work?

The authorized domain setting allows you to define a specific email domain that all users (aside from guests) must have in order to join the account. Additionally, with this setting, any person with this specified email domain can also join the account themselves without an invitation.

Who can invite users with this setting?

  • Admins can invite any user type, even if they do not have the authorized email domain.
  • Members can invite other members or viewers with the authorized email domain. Additionally, members can invite guests onto Shareable Boards that they are the board owner of.
  • Viewers can invite other viewers which have the authorized email domain.

If a member or viewer tries to invite someone who does not have the authorized email domain, they will receive the below error message and that email will be displayed in red. Additionally, emails with the correct domain will be indicated as so in blue.

Google SSO (single sign-on)

How does this setting work?

Google SSO, a secure authentication system, allows your team members to easily sign into monday.com using their Google account. If your organization's email domain is hosted by Google, users who have that specified Google domain will be able to sign up to the account without an invitation.

Who can invite users with this setting?

  • Admins can invite any other user type as long as they have the same Google domain specified in their SSO setup. Guests with other domains can be invited by admins as well.
  • Members can invite other members or viewers as long as they have the same Google domain specified in their SSO setup. Additionally, members can invite guests onto Shareable Boards that they are the board owner of.
  • Viewers can invite other viewers if they have the same Google domain as specified in their SSO setup.

SAML SSO (single sign-on)

How does this setting work?

Using SAML SSO, an organization's IT or Operations team can easily manage all user login credentials across multiple applications at once. Having this in place provides an extra layer of security and allows you and your team to seamlessly log into various platforms using the same set of credentials.

  • Members can only invite guests onto Shareable Boards that they are the board owner of.
Note: When SAML SSO is active, a user can be invited and created from within monday.com, however, their ability to log into the account will be set according to the Login Restrictions Policy set in the admin section of the account as in the image below.

Note: When SSO Login Restriction Policy is set to "All users must use SSO" (the first option shown above) it disables the possibility of inviting Guests users, even for Admins.
