The Pivot Board will allow you to better analyze the different verticals of data within your board by slicing and dicing the information in any way that you wish. Being fully flexible and customizable, the pivot board will enable a deeper level of reporting and data analyzation from many different perspectives. 🙌 

 

How to add it

The Pivot Board can be used as a widget both on a singular board as a board view as well as on a dashboard which has multiple different boards connected to it!

• Board view

To add a Pivot Board view, click on the plus sign at the top of your board to add a new view. From the resulting menu, select "More views" and then search or locate the Pivot Boards Widget and click "Open in board" to add it.

 

• Dashboard 

To add the Pivot Board onto your dashboard, open any dashboard on your account and click on "Add widget" at the top of the page. From here, select "More widgets" and then search for the Pivot Board within the Widgets Center and proceed to add it to your dashboard.

 

Set up your Pivot Board

Customization of the Pivot Board is crucial, because it is in this step that you will define which data from your board(s) you'd like to see in your Pivot Board and in which way you'd like to show it. Whether it's the number of tasks, clients or revenue, the Pivot Board is a great solution to adjust the information according to your needs and to extract any insight that you're looking to see. Let's get started! 

 

• Choose your boards

If you are using the Pivot Board on a dashboard, the very first step will be to choose your boards which will feed data into the widget. Otherwise, if you are using the Pivot Board as a board view, you can skip this step as it will only pull data from that board that it is located on!

To select the boards that will input data into the Pivot Board, click on the settings button at the top right of the widget. Then, under the "Boards" section, you can check the box next to the board name to have it included within your Pivot Board, or uncheck the box to remove it.

 

• Define your rows and column grouping

Next, it's time to start adding different verticals of data that will be included within your Pivot Board. On the top of the widget under "All columns", you will see all of the columns available for selection within your Pivot Board. These options are based on the existing columns on your board(s). 

 

In order to define the rows and columns of your Pivot Board, simply choose the columns you want to view and drag them to either "Row grouping" or Column grouping" as shown here: 

 

Once done, you will get a visual, sliced and diced view of your board's items!

Let's consider an example to see this in action! In our Product Team, we are managing a process of gathering and prioritizing client feature requests and we are interested in seeing a breakdown of how many features each developer has to work on according to their priority. Here, we arranged the Pivot Board so that the rows will indicate feature priority, and the columns will represent each developer. Using this, we can easily understand how many features each person is working on according to its priority level!

 

You can even add multiple layers to the Pivot Board! This will allow you to gain a deeper analysis and identify trends on your board. Here, for example, we also added the Status column to the row grouping so that we can understand where each feature stands within the development process!

 

• Choose your summary calculation 

You can summarize your data by the sum, average, median and more! On the top left of your pivot click into the dropdown and select your preferred settings. In the example below, we've selected "Sum".

 

In this example, we are interested in seeing what the potential deal value is for each of the requested features, and again split up according to priority and developer. On the upper left side, we chose "Sum" and then "Potential deal value" from our column choices. Using this, we can now easily see how much the potential deal value is within our Pivot Board!

 

• Choose your type of table 

Whether you'd like to see your data in a table, line chart, heatmap or more, we've got you covered! On the top left of your Pivot Board, click on "Table" and select your preferred style:

 

In this example, we've selected the Table Heatmap to display and easily understand the highest and lowest values within our Pivot Board. You can customize the colors of your map and the high/low values by clicking on the three-dot menu on the top right of your Pivot Board, selecting "Settings" and then customizing your choices within the "Heatmap Settings" category.

 

Filter your Pivot Board

You can zoom into the specific information that you need to see within your Pivot Board by using the filters! You can get started by clicking on the filter icon located on the top right of your view as below and select your preferred filter (or multiple!).

Let's say that our developer, Noy, wants to see only the items that are relevant to her. She can use our quick filters to select her name, and then the Pivot Board will display only the values that have been assigned to her!

 

You can also save your filtered view for easy access at any given time. To do so, simply click on "Save filters" as below, and whenever you will open your Pivot Board View from that board, the filter will automatically be applied.  🎉

 

Additional customization options

Within the Pivot Board settings, you'll find additional customization options to ensure that your chart looks and performs in the way that you wish! Under the Pivot Settings group, you can select to hide the controls so that you only see your Pivot Table without the additional column options or groupings on the top and left side.

From the same area, you can also choose how any dates will be displayed within your Pivot Board. For example, here we chose the column grouping of our due dates to be shown according to the day of the week, rather than the full date!

 

Last but definitely not least, you can also pick whether you want your Pivot Board to be displayed solely as the Pivot Board, or to use "Split mode" where you'll see the Pivot Board right above the connected board(s) as shown below. Simply click on the icon to the left of the settings menu and you'll see all the options listed there!
