The Dashboards

 

Dashboards are a great way to display your important information, viewing all projects in one single layout. With over 30 available widgets and apps users can now understand project progress, track budget, estimate teammates workload and much more! It helps to keep your team focused and motivated on the high-level goals and boost productivity! 

 

What are dashboards?

Dashboards are here to facilitate your workflow, and make sure you stay updated on what is happening in multiple boards. Create summaries, reports, and get a high-level view of everything that is important to you! Select and organize groups from multiple boards in one dashboard. Centralize your data in one location, and use our widgets to have all the tools and information you need in one view.

Add a dashboard

To create a new dashboard within a workspace, click "+" below the name of the workspace and select "New Dashboard".

Alternatively, you can also add a dashboard directly from your preferred folder. Click the 3 dot menu within a folder in your workspace, click "Create in folder" and select "New Dashboard".

Choose your dashboard type

You can choose whether you want your dashboard to be public or private. 

  • If your dashboard is public, it will be visible by everyone in your account
  • If you choose the private option, your dashboard will be visible by yourself and the selected team members you are inviting to it.

We will be explaining this further later on in this article. 

 

Note: Admins of an Enterprise plan will be able to view high-level details of a Private Dashboard such as its name, subscribers, and creation date via the content directory.

 

Connect your boards 

A button in the top left corner of your dashboard shows you how many boards are connected. Click to open up the window to view your boards and connect others using the search bar or tick off recently used boards. Click "Done" and head to the next step!

The checkbox below your list of boards allows you to choose whether you'd like to add newly connected boards to existing widgets. This means that if you already have widgets configured to the data in your dashboard and then you add additional boards, you can decide whether or not the data from those new boards is included. 

 

By default, this box is checked, but simply tick the box to change this setting!

 

Note: The amount of boards you can pick depends on the plan you have purchased. For more information check out this article

 

Column matching 

If you have multiple boards with the same column type and name, that you would like to connect to a single widget to track various projects, you can easily match columns across boards automatically. This way you can configure the widget settings and filters with many boards, without having to select each column manually. 

Firstly, ensure that all the relevant boards of your projects are connected to your dashboard, as shown in the above section

To configure the column matching, click on the three dots in the top right-hand corner of the widget, select "Settings", and then either "X Axis" or "Y Axis" from the settings window that appears.

From here you can choose either "All at once" or "One by one". In selecting "All at once" the widget will pull data from identical columns across your boards automatically, whereas the "One by one" option will require you to select which columns you would like to pull the data from, manually.

After selecting the "All at once" option, a list of matching columns across your boards will appear. Use the drop-down arrow next to the column name to choose which column you would like to pull data from.

Note: The number that appears next to the column name indicates how many of your connected boards share the same column. If there is a connected board that is missing the identical column, and you would like to include it in the widget, you will need to manually input which column you would like to pull data from in that board, through the "One by one" setting. 

 

You can also configure column matching across your entire dashboard through the dashboard settings, by selecting the "cog-wheel" icon in the top right-hand corner of your dashboard.

Add widgets

Your dashboard is made of different widgets. You can use each widget to display specific information from any board. To add a new widget, simply click on the add widget icon and select the type of widget you would like to display.

Check dashboard capacity

To ensure that your dashboard runs smoothly, dashboards with 3K+ items, containing only supported widgets, will be automatically upgraded to a new dashboard engine. This dramatically increases the performance of your dashboard. You will see a notice box appear in the bottom right-hand side of your screen, informing you of your dashboard upgrade.

We have also incorporated a max limit of 20K total items, subitems, and linked items across all boards connected to the dashboard. If you load a dashboard with more than 20K items, a message will appear with an explanation and a prompt to disconnect some of your boards.

A Dashboard can hold up to 30 different widgets, where the number of Text Widgets are not included in the 30 limit count.

Who can see my dashboard? 

There are two types of dashboards: Main Dashboards and Private Dashboards. 

  • Main Dashboards

If your dashboard is a Main Dashboard, everyone in your account will be able to see it. In your Main Dashboard, you can also invite guests users. 

  • Private Dashboards

If you choose the private option, then your dashboard will be visible by yourself and the selected team members or guests you are inviting to it. 

 

Note: Admins of an Enterprise plan will be able to view high-level details of a Private Dashboard such as its name, subscribers, and creation date via the content directory.

 

You can easily share your Private Dashboard with your team members! Click the "Share" icon located on the upper right corner of your dashboard. Click "Dashboard members" to invite your team members and guests.

Note: By selecting "Invite by email or link" in the share options, company employees who aren't part of your account will be invited as members or viewers of the account as a whole. 

 

You can change your dashboard from main to private and vice versa at any point. Click on the three dots menu located on the upper right of your dashboard and select "change type to" as below:

Dashboard permissions

Dashboard permissions or restrictions are meant to give the owner of the dashboard control over what information can be changed on the dashboard level. Click here for more information.

 

Requesting access to a private dashboard

If you've stumbled upon a Private Dashboard that you do not have access to, you'll find the below error message displaying that the dashboard is private and you currently do not have access to it. In order to instantly request access to the Private Dashboard, you can click on the blue "Request access" button as below:

Clicking this button will send a notification to all owners of this Private Dashboard, showing that you've requested access. By clicking on the notification, the dashboard owners will be directed to the subscribers page to grant you access to this Private Dashboard if they so choose. 

Edit your dashboard

You can edit your dashboard at any point by toggling to the "Edit" button located in the center of your screen right above your widgets:

Once you are done, toggle back to "View". 

 

Turn on or off live data

You have the option to enable or disable live streaming of data on your dashboard. When live data is on, you can edit your data in real-time, and all data will be refreshed immediately right before your eyes. When live data is off, the dashboard becomes a read-only report of your boards, and will refresh when you refresh your page or click on the "Refresh" button.

 

Note: The ability to turn on or off live data is only available for cross-board dashboards. It is not supported in our board views (including Dashboard Views).

 

To turn live data on or off, click the 3 dot menu at the top right corner of your dashboard, click "Live data", and select on or off, as shown below.

How do I know which live setting is right for my dashboard?

When your live data is turned off, board data will not be retrieved automatically. So, while in this mode, you'll see a "Refresh" button at the top right corner of your dashboard. Beside the button, you'll see an indication of the last time your data was retrieved.

Filter your dashboard

You can filter the information you see on your dashboard by clicking the funnel "Filter" icon in the top right corner of your dashboard. From the pop-up window, you can choose which board you'd like to filter from the drop-down list of connected boards, as shown below.

You can choose from two different types of dashboard filters! Quick filters allow you to filter by board, group, or any of the columns on your boards! Advanced filters allow you to filter your dashboard according to specific conditions that you can customize! Add as many as you want, and they will work together simultaneously!  CPT2106161303-1363x654.gif

To remove the filters you've applied, simply click "Clear all". If you want to view this filter every time you open this dashboard, click "Save to this dashboard".

Filter subitems on your dashboard

Not only can you filter the items on your dashboard, but using the advanced filter, you can drill down into the data on your dashboard according to your subitems as well! To do this, click on the down-facing arrow next to "Filter", then click into the "Column" dropdown, and scroll down to locate your subitem columns.

Depending on how you're using subitems on your connected board(s), you'll want to use different settings when filtering your subitems. For this reason, we offer a few different possibilities for filtering subitems on your dashboard:

  • Filter by parent columns
  • Filter by subitem columns
  • Filter by both subitem and parent columns

Export your dashboard

  • Export to PDF

Easily share the current state of your dashboards with colleagues by exporting your widgets to a PDF document! Click on the three-dot menu at the top right of your dashboard and then select "Export to PDF", as shown below.

  • Export to Excel

Currently, it's not an option to export your entire dashboard to Excel but you can export the following widgets to Excel:

Just click the three dots at the top right-hand corner of your widget, and select "Export to Excel":

The Chart Widget can be exported as different file types. Click the 3 dot menu above the widget and select "Export" to launch a menu of file types:

TV Mode and full screen  

Present your dashboards in a more sleek, presentation mode with TV Mode! No more left pane, buttons or icons. This setting is great if you'd like to display your dashboard on a TV or a bigger screen. Click on the three dot menu in the upper right corner of your dashboard and select "TV Mode":

To view any individual widget in full screen mode in your dashboard, click on the three dot menu in the upper right corner of the widget and press "Full Screen":

Dark Mode

We love our dashboards in dark mode! It's sleek, easy on the eyes, and really allows the colors to pop! While you can't turn on dark mode only for your dashboards, you can follow the two quick steps in this article to check out dark mode for your whole account including your boards and views! You're going to love it as much as we do!

Schedule Email Notifications

Note:  This feature is available only to Enterprise users. 

 

Schedule your dashboard to be sent periodically as an email! Click the three dots in the upper right-hand corner, and click "Schedule email notification".

You can choose to send email notifications to all of your dashboard's subscribers, or you can manually select team members. Choose whether you want to send emails daily, weekly, or monthly, and set the exact day and time! When you're done, click "Schedule email".
