Basic reporting with monday.com

 

At monday.com, we love to make data-informed decisions. We measure everything -  progress towards KPIs, performance, pounds of pistachios eaten by the team. We know how important it is for any business to have detailed and accurate reporting. 

Reporting helps everyone understand how they are performing against their goals, and discover places for improvement. In short, reporting shows us reality as well as opportunity.

In this guide, we will introduce you to some basic reporting tools such as formulas, advanced filters, chart views and much more. We will look at different use cases, using a variety of boards and workflows, to understand some of the core ways to create reports based on your boards. Let's get started 🙌

Manage your budget with formulas and filters

  • Get an overview of your budget with the Formula Column

In this use case, we will look at how to manage your company budget. Each group represents a quarter and each item is a team within the company. We've added two Numbers Columns, in order to track the budget planned for each team versus the actual amount spent. 

With our Formula Column, you will be able to see in a glance if you are over budget or under budget. The Formula Column allows you to do simple and advanced calculations on your board, thus amplifying your data extraction capabilities. 

In this example, we will use the 'IF' formula as below: 

Formula: IF({Budget}>{Actual Spent},"Under budget",IF({Budget}<{Actual Spent},"Over budget",IF({Budget}={Actual Spent},"On bugdet")))

 

 

We can also use another formula to track how much budget is left for each department: 

Formula:  MINUS({Actual Spent},{Budget})

 

 

  • Drill down information with the advanced filters

With advanced board filters, you can narrow down on specific things on your board. This is super useful if you have a long board full of information (because after all, who likes scrolling!).

Here for example, we are interested to see all the departments that are over budget for Q1. You can pick multiple filters to view the exact information you need:

We can see that Marketing, Sales, and Legal spent way too much in Q1 so we know we will need to be more careful in the next quarters.

You can also save your view as shown below:

By saving your views, you will be able to access them easily in just a few clicks.

Visualize your board's data with charts

Chart Views allow you an informative overview, providing breakdowns and analytics to enable your team to make necessary and informed decisions. In this example, we are an HR team and we want to report on employee satisfaction. A survey was sent to each employee through a form and all the answers are gathered in the board below: 

The chart view will help us get a better understanding of all the responses we got from our survey. Here, we've used it to analyze how the communication channel is between employees and team leads.

To visualize the results of each question, you can also use the charts on dashboards! This will allow you to build several graphs in one single place. This is a great way to show higher managers the bottom line of a survey you’ve run.  🙌 

 

Find any relevant information with the Search Everything 

Search Everything allows you to search for anything across all of your boards! Want to filter which tasks are 'Stuck' across all of your boards? You can! Keen to check how much work your colleague has going on? Search their name! Want to see what you’ve got to do this week? Search for which items you’ve been assigned to, and then filter by date!

Let's say I am working on multiple projects simultaneously and each project is on a separate board. To see all the tasks assigned to me, I can simply search for my name on the search everything. This will display all tasks across all boards that have been assigned to me.

I can also search for my name and a specific status if, for example, I want to see all of my Stuck tasks.

Let's take it a step further and filter by a specific time frame!

Finally, I am able to export the results of my search if I want to share those with people outside of the account.

Get insights from all of your boards with a dashboard

Dashboards are a great way to display what's important in just one place. You can create reports using data from one or several boards. In addition, dashboards are live so they’ll automatically update based on the data living in the boards which they are connected. No need to keep maintaining them. 

With more than 15 available widgets users can now understand project progress, track budget, estimate teammates workload and much more! It allows to keep your team focused and motivated on the high level goals and boost productivity!  

Let's say we are a Sales Manager. We are working with three different boards:

  • A CRM board - that helps us to track the status of every customer relationship and keep a record of information. 
  • A Lead board - to display the lead information, maintain communication, discern the hot leads from the cold ones and therefore, improve conversion
  • A Sales Pipeline board - to visually track the progress of all the deals our sales team is currently working on

The first step in creating a dashboard is to select the boards you want to extract the data from. In this case, our three boards above.

Once done, we can start adding our widgets. In this example you have used the following widgets: 

  • The numbers widget - to display the amount of qualified leads, the amount of deals closed and the amount earned for the month of April.  
  • The chart widget - to show the amount closed for each representative as well as the total amount earned per month.

  • The Board to Globe - To visualize your active leads in an interactive globe! 
  • The Calendar - To display all the import meetings of the month with the calendar widget.

Share your reports to promote transparency

You can share a Private or Main Dashboard with anyone you want! Send them a shareable link or an email straight from monday.com! 

Click the 'Share' button at the top right corner of your Dashboard and select 'Invite to this dashboard':

You can choose whether you want to invite your guest using a shareable link or by email! For a shareable link, click 'Copy' beside the link and paste wherever you want! To invite by email, simply type your guest's email into the field and click 'Send'!

Note:  Whoever you invite to your Dashboard will only be a viewer of this Dashboard! They will not be able to make any changes to your Dashboard or see any other information in your account. 

 

Sharing your dashboards with your team promotes transparency and is a great way to keep everyone aligned and focused on the goals. 

 

View and update data on the go with the mobile app 

The mobile app will allow you to collaborate with your team right from the palm of your hand! It's perfect if you're on the go and want to stay in tune with your team members. View your dashboards, board views, and boards, and pull your mobile out of your pocket to update information the minute it becomes relevant! You can even use the mobile app in offline mode to collaborate with your team from the field, or even on the subway on your commute to work! Check out this article to get started!
