In the past, permissions were limited to an “all or nothing” approach, which could complicate managing collaboration under control. Our new Granular Board Permissions provide a wide range of combinations, allowing board owners to assign roles precisely as needed—down to who can create automations, adjust forms, or add groups.
Why the change?
Previously, board permissions were not customizable, and these could either be changed for users to be able to edit everything or only items. Now, board owners can decide exactly which permissions to give users.
Previous permissions:
New and expanded board permissions:
Where can I find the new permissions?
On the board you want to use, click on the three-dot menu located on the top right of the board. Then click on "Permissions" to open up the settings.
You'll then be taken to the Board permissions page for your board:
Who can make these changes?
Enterprise accounts can choose one of four permissions sets:
- Edit everything: allow non-owners to view and edit both board content and structure
- Only Edit content: allow non-owners to view and edit board content but not structure
- Only edit assigned content: allow non-owners to view and edit only items and subitems assigned to them
- View and comment: allow non-owners to only view and comment on items
Each permission set can then be further configured to change default abilities.
Permission categories
You can click through different permissions options for various categories including:
- Items
- Subitems
- General
- Updates
- Columns
- Groups
- Views
- Forms
Each category includes a different list of permissions that you can customize as you need:
Making changes to permissions
Within each category, you'll see a breakdown of each of the available permissions options:
Once you have finished choosing your permissions options, click on Save. The following window will open up with a summary of the changes you've made, and you'll be able to toggle through the different categories to see the breakdown of each change made. Once you're sure that you've made all the changes you want, click on Save.
Limit which items board members can edit
If you want to limit board members so they can edit only items they are assigned to, you can select “Only edit assigned content” permissions set and then click on "Customize" on the right side from the "Edit items" permission as we've done below:
From there, you'll see the option to choose "Only items assigned to them in any "people" column":
Limit which items board members can view
Similar to previous board permission, you can limit board members to view only items they are assigned to them in any "people" column by selecting “Only edit assigned content” or "Only edit content" permissions set and then clicking on "Customize" on the right side from "View" permission as so:
Then, choose the "Only items they created and items assigned to them in any "people" column" option:
Click "Done"—and that's a wrap!
