At monday.com, one of our core missions is to allow teams of all sizes to collaborate together in the most efficient and productive way. With this said, in order to allow the largest of teams to scale with us with ease, it is important to understand how to optimize the amount of subscribers you add to your board with the limits that we have in place.
In this article, we'll learn how to best organize users on your boards to ensure that you can work together with all the users that you wish. Let's dive in! ⬇️
Optimizing subscribers with teams
By strategically utilizing teams (and sub-teams) on your account, you can easily add thousands of users to a board without exceeding the overall subscriber limits. 🙌
To maximize the number of subscribers on a board, we recommend to first create teams and sub-teams full of users within your organization based on departments, projects, or any other relevant criteria. You can add up to 5,000 users to a team and an even more users to a sub-team, therefore allowing you to add virtually an endless amount of users to a board!
Tip: Teams help reduce the manual work of subscribing users to multiple boards. Additionally, if a user leaves the company or moves teams, removing them from a team will revoke board access instead of having to go in one by one to each board!
Next, you can begin subscribing users to your board! Go onto your board of choice and click on the "+ Invite" button on the top right of your board. From here, you can add any individual members, as well as teams to the board to make sure every relevant person has access:
Tip: You can grant board ownership to both individual members and full teams of users once added to a board!
By making the most out of our teams feature, you can seamlessly add many users to your board at once, and also prevent hitting the limit that we enforce for individual member board subscribers! Read on in the next section to get a real example of how to go way beyond the individual member board subscriber limit.
Adding thousands of users to a board
Let's take an example to really understand how you can add thousands of users to a board! At monday.com, the biggest board that we currently use has 3,200 subscribers. With this in mind, let's see how you can create a board with 10,200 members - over triple the size of our biggest board. 🚀
Say that your board has 200 individual members, and in addition, 10 teams with 1,000 people in each. By doing this, you'll have 10,000 users added only from the teams (10*1,000 = 10,000). Then, if you add on the 200 individual subscribers, your board will have a total of 10,200 users subscribed to it - and this isn't even close to our maximum!
When it comes to the actual board subscriber limit that we have, it differs depending on if it's an individual member or if it is a team that is subscribed. On each board, we allow for:
- 400 individual members. In this option, when a user of any type is added individually to a board, it counts as one member.
- 100 teams subscribed. In this option, you can add up to 100 teams to one board and each specific team can have thousands of users within it! Not only can this option allow you to add more users onto your board, but teams also allow you to efficiently manage access permissions, assignments, and more for multiple people at once.
Note: You can add up to 400 individual members and 100 teams on the same board, allowing for a really large amount of users to collaborate! Read on to learn more about optimizing the amount of subscribers on your board.
We have board subscriber limits in place in order to maintain the optimal performance of our platform. With this said, by making the most of our teams and sub-teams features, you can ensure that you'll be able to collaborate with a large amount of users in your boards in the most efficient way!
